Job Description

Job Overview

As the first point of contact for clients, visitors, and employees, the Front Desk Assistant ensures a professional and welcoming environment at Techminds Network Ltd. This role involves managing front desk operations, facilitating communication, and supporting administrative functions to maintain smooth office.

Key Responsibilities

  • Reception & Visitor Management
    • Greet and assist visitors, clients, and staff with a professional and polite manner.
    • Manage check-ins and direct visitors to the appropriate departments or personnel.
    • Ensure the reception area is tidy and presentable, with all necessary materials
  • Communication & Scheduling
    • Answer and direct phone calls to the appropriate department or person.
    • Schedule and confirm appointments, meetings, and events.
    • Handle incoming and outgoing mail and packages.
  • Administrative Support
    • Perform clerical duties such as filing, photocopying, and data entry.
    • Maintain office supplies inventory and place orders when necessary.
    • Assist with administrative tasks as needed, including preparing documents and reports
  • Security & Compliance
    • Monitor and maintain the cleanliness and organization of the reception area and common spaces.
    • Ensure security protocols are followed by managing visitor logs and issuing access badges.

Additional Responsibilities

  • Assist with coordinating meetings and preparing meeting rooms.
  • Support HR and Operations departments with scheduling interviews or onboarding new hires as necessary.
  • Monitor and order office supplies in collaboration with the facilities or procurement team.
  • Provide administrative support to other departments as needed
