Job Title: Finance Manager

Role Summary:
The Finance Manager is responsible for overseeing and managing all financial operations to ensure the organization maintains financial health, complies with regulatory requirements, and uses resources effectively. This role involves leading the development and implementation of financial systems, policies, and procedures that support the organization's strategic objectives and day-to-day operation
Requirements:
- Masters degree in Finance, related field like Management, Economics or Business
- Minimum 5 years of full-time, professional work experience (related field), preferably in a non-profit setting.
- Good prior experience in using MS office (especially MS Excel).
- Familiar with Google drive, Google Docs, and Google sheets.
- Ability to create work time-line and complete tasks within deadlines.
Key Responsibilities:
- Responsibilities include, but are not limited to the following:
1. Accounting and Asset Management
- Prepare quarterly and annual financial statements and narrative reports
- Review procurement processes and documentation process and ensure its compliance with Procurement Policy
- Review regular expenses claims of staff and ensure its compliance with Finance and Administrative Policy and Procedures
- Lead monthly salary and stipend sheet preparation and supervise timely payroll processing Supervise regular statutory deposits like PF, GF and CIT
- Supervise petty cash payments through Associate
- Prepare bank reconciliation statements for operating bank accounts
- Supervise fixed asset and inventory management through Associate
- Make regular accounting entries after ensuring the expenses claims and procurement documents are in compliance with the Finance and Administrative Policy and Procedures
2. Financial Management
- Facilitate team collaboration for budget preparation and compile the annual budget of the organization
- Collaborate with Senior Management for fund flow management
- Collaborate with Senior Management for development of financial risk mitigation strategy based on organization’s strategy, mission and vision
- Monitor organization’s expenditure and prepare budget variance reports
3. Grants Management
- Lead preparation of Budget and Reporting for Grants (for donor and SWC) in collaboration with the CEO and Development and Triad Team
- Collaborate with Development and Triad for proposal writing and report writing procedure for grants.
- Monitor grants spending and ensure its compliance with terms of grants ensuring spending are in compliance with the grant agreement
4. Governance and Compliance
- Liaise with auditors for statutory and donor audit
- Review and update the Finance and Administration Policy and Procedure Manual in collaboration with Team Leads
- Lead Finance Orientation Session for Staff and Fellows during onboarding process or annual update.
- Prepare Annual Tax Assessment for Individual Staff Members and orient staff on any implication of changes in tax slab rates and staff agreement
- Ensure tax related deposits are made to IRD and Metropolitan office
- Liaise with IRD for Income Tax Filing, obtaining Tax Clearance Certificate and Tax Exemption Certificate
- Advise the senior management on compliance of financial and regulatory requirements and its implication wrt any decisions or activities.
