Finance Assistant

The Finance Assistant provides direct, high-level operational and administrative support to the Head of Finance across all core finance functions. This role acts as the primary execution engine for key projects assigned by the Head of Finance—spanning financial control, monthly reporting, budgeting support, treasury and cash flow tracking, systems optimization, tax/VAT compliance, and specific legal/audit remediation tasks. By taking ownership of operational processes, data collection, process documentation, and initial schedule preparations, the Finance Assistant ensures the Head of Finance can maintain strong governance, deliver accurate board reporting, and drive strategic commercial decision-making.

Core Responsibilities & Supporting Accountabilities

• Leadership & Team Administration: Maintain up-to-date departmental JDs, operational procedures, and training manuals across Accounts Payable, Accounts Receivable, and Revenue teams. Assist with meeting coordination, tracking departmental action logs, and monitoring KPI metrics for the Head of Finance.
• Financial Planning, Budgeting & Management Reporting: Assist in compiling raw data and departmental inputs for the annual budgeting and monthly forecasting cycles. Support the Head of Finance in drafting Property Performance Reports (PPR), profitability tracking schedules, cash flow reports, and performance dashboards for senior management review.
• Financial Reporting & Statutory Compliance: Gather background documentation, schedules, and reconciliations required for monthly management accounts, statutory accounts, and year-end audits. Act as a first point of contact for external auditors to provide requested audit packs and transactional samples.
• Cash Flow, Treasury & Funding Support: Help produce and maintain daily/monthly operational cash flow forecasts. Support the Head of Finance in managing funding master trackers (lenders, facilities, market terms), organizing loan documentation, and tracking completion conditions (CPs) for bridging, development, and investment facilities.
• Financial Controls & Risk Register Maintenance: Assist in maintaining the financial risk register (liquidity, credit, supplier, cyber, and staff dependency risks). Monitor internal control compliance and perform cost control checks across departmental expenditures.
• Tax & Corporate Compliance Support: Compile background schedules and transaction details to support tax advisors for Group tax filings. Coordinate statutory submissions and corporate filings to ensure no missed deadlines across group entities.
• Systems & Process Improvement: Support the Head of Finance and IT Manager in ERP development and financial automation. Identify manual bottlenecks, document standard finance procedures, and ensure staff are fully trained on financial software protocols.
