Job Description

Budget control and forecasting:

  • Prepares cash forecasts of planned upcoming monthly admin expenses by the 25th of each month using the Delegation BVA format
  • Petty Cash Management
  • Manages the Office Petty Cash, including maintaining of the petty cash journal and reporting on petty cash on a regular basis to the Finance Manager
  • Payments
  • Prepares payments for processing by the Finance Manager (preparing Payment Authorizations, preparing checks)
  • Utilizes the Find Scan database as necessary

Assist the Finance Manager with the entry of transactions into EPICOR, including the following:

  • Funds receipts, conversions of core currency into local currency, maintaining exchange rates in the system, and maintaining A/P and A/R modules up to date
  • Regular entry of the expenses into the system, ensuring data integrity and accuracy
  • Bank reconciliation and reconciliation of all advances, including staff, partners and vendors / suppliers

Assist the Finance manager to check NRCS Monthly Financial Reports, including:

  • Checking the partners' Monthly Financial Reports and comparing each expense reported against the Bank Statements
  • Ensure each expense reported is backed by the correct documentation and approvals
  • Raise any issues found with the Finance Manager for further clarifications

The Line Manager may dedicate additional tasks and responsibilities as the situation dictates. The Finance Assistant demonstrates flexibility and pro-activity accepting/ handling/ implementing and reporting completion on requested additional tasks defined by the Line Manager.
