About the Role:
Finance and Operations Lead is one of the core management teams in the organization. Including the responsibilities provided this is also the position that must endorse an exemplary leadership to its teammate, understand the working vision and goals of the organization, and set a tone of a just and robust leadership.
We are looking for a suitable candidate who can support the mission and vision of Ujyalo by taking up such a critical and important role in the organization.

IV. Contractual commitment: 2 years (3 months probation)
V. Roles and Responsibilities
The main objective of this position is to manage all the financial aspects of the Foundation along with the management of its daily operations, admin functions and logistics management for all the programs, projects and activities of the Foundation. The Finance and Operations Lead will manage the budget, prepare financial documents, reports, and ensure that all the financial transactions of the Foundation are conducted smoothly and legally and in compliance to financial regulations and laws.
The Finance and Operations Lead will also be responsible to create and maintain a proper financial system along with adhering to the Foundation’s existing standards and thus manage the financial, admin and operational processes and ensure accurate records are kept by the standard practice.
A. Core Responsibilities
- Manage and monitor the overall operations of the organization – Admin, Finance and Logistics
- Plan, oversee, and arrange program-based logistics for smooth and efficient operations
- Manage and monitor recurrent program related expenses, and administrative expenses like payroll, rent and utilities
- Keep a proper record of all the financial, admin and logistics transactions in the respective software and system of the organization
- Manage public and financial relationship with vendors and stakeholders
- Manage grants and funds related to programs and the Foundation, and the affiliated donors
- Oversee the operational management of HR
- Develop innovative tools and mechanisms to strategize, and improve existing systems
- Work with team at the local level and global level
B. Financial Management
- Enforcing/developing financial management mechanisms
- Provide and interpret financial information
- Monitor, manage and interpret cash flows predicting future trends
- Manage all bookkeeping following the organization's policies and prevailing policies of the state with all required supporting documents
- Act as liaison with auditors to ensure periodic auditing is carried out
- Develop external relationships with appropriate contacts, e.g. auditors, bankers and statutory organizations such as the Inland Revenue Department
- Produce accurate financial reports to specific deadlines
- Keep abreast of changes in financial regulations and legislation
- Maintain a documented system of Financial, Procurement & HR policies and procedures
- Ensure the organization receives monthly fund required in due time and that the partners receive fund in time as appropriate
- Ensure that the books of accounts and other financial records are maintained and updated according to the prescribed standards
- Ensure maintenance of adequate bank balance to carry out the transactions smoothly
- Responsible for disbursement of staff salary and other payments in timely manner
- Responsible for making accurate payments to suppliers, vendors, consultants and other external parties
- Responsible to verify with the market rate of the bills before release of payment
- Design and manage various fundraising activities with the team to enhance funds of the organization
C. Reporting
- Provide periodic (monthly/quarterly) financial, admin and HR report
- Provide periodic report for the donor-based programs
- Manage the financial aspect with the donors including organizational compliance and reporting
- Conduct regular meeting with the supervisor to review the financial, admin and HR status of the organization
- Submit weekly progress reports on achievements to the supervisor
D. Auditing
- Ensure that auditing is done in due time and all the relevant documents and supports as required by the auditors are provided
E. Legal compliance
- Meet all the legal compliance of the organization including renewal, SWC compliance and Labor Act compliance
- Oversee and manage annual renewals
- Represent the organization at SWC and any other legal authorities and organizations
F. Partnership
- Facilitate the partner organizations to improve their accounting and internal control system as appropriate
- Ensure that the partners maintain proper books of accounts as per the acceptable standards of the organization and make financial reports to us accordingly
G. Funds Management
- Forecast cash flow positions, and available funds for smooth operation of the projects
- Ensure that sufficient funds are available to meet ongoing operations and capital investment requirements
H. Budgeting
- Manage the preparation of the organization's annual and multi-year budget
- Report to management on variances from the established budget, and the reasons for those variances
- Assist management in the formulation of its overall strategic direction
VI. Team Supervision and Management
- Oversee and manage the operations team
- Manage each staff tenure, leaves, contracts, etc.
- Regular interaction with the various program team members to smoothen the internal operations
- Conduct quarterly HR assessment along with the People and Programs Development Lead
VII. Communication and Documentation
- Provide strategic ways to ease the overall operations of the organization to the management
- Ensure strong and timely documentation from human resource to finance and logistical aspects
- Communicate with the team, BODs, stakeholders and donors for the finance related activities
- Manage and communicate admin related information to the team as per need, and during the weekly meeting
- Conduct one on one meeting for any admin related issues with the team
VIII. Other Requirements
- Must participate in all Ujyalo Foundation events
- Must adhere to and implement Cultural Code and best practices
- Must participate in weekly team meetings, weekly one on one check-in and quarterly review, and annual strategic planning meetings
- Must adhere to and implement Cultural Code and best practices
- Must follow the office timing of the organization (9:00 am-5:30 pm M-F)
- Work based on the organizational needs
IX. Qualification, Experience, and Skills
- Master's degree in Finance and HR or related studies
- Proficient in Microsoft Office Suite and Google Suite
- Knowledge of Accounting software
- Knowledge of using office management tools like slack, zoom, monday.com/trello/asana
- Skills in working with the team at the local and global levels
