Job Description

Position: Field Support/Logistic Officer
Starting Date: 2021.01.05
Status: Full time
Duration: 6 Months – Renewable
Duty Station: Kathmandu, with field visits 50%

Objective:

  • Contribute to the implementation of the SASANE work-plan providing documentation/logistic support and overseeing the overall logistic processes in support of the objectives of the organization
  • Meet the expectations of organization for logistics and field support through coordination, information management, and service provision

Reporting Line:

  • The Field Support/ Logistics Officer reports to the Finance/Admin Manager

Key Responsibilities

  • Must be responsible for the planning, oversight, and management and coordination of logistics support operations to ensure smooth accomplishment of projects of organization
  • To work in the force, planning the set-up of project sites, as well as coordinating, directing, and others involved in executing an assigned project of organization
  • Ensuring that a project takes-off and is completed smoothly
  • Responsible for prioritizing work orders and organizing tasks based on project deadlines in compliance with the organization Policy requirements
  • Support/Lead field activities in close coordination with the team
  • The Logistics Support Officer is the primary focal point and communication channel for the staff, vendor, donors etc

Desk Duties

  • Lead the implementation of Logistics operations taking care of the budget and time-frame
  • Provide advisory to the staff strategic planning products and provide guidance on the implementation of operations
  • Maintain the proper overall understanding of the budget in coordination with finance team for logistics
  • Provide the necessary logistic support/guidelines to the staff
  • Assist in the preparation and review of the documents for the implementation of the activities (as per budget).
  • Advise and assist in identifying and mobilizing the necessary resources (i.e. financial, HR and assets) for the implementation of the operation.
  • Provide periodic updates and inputs related to the activities of the Logistics requirements
  • Ensure the logistics and reporting responsibilities are met within the defined time frame
  • Exchange information closely with other desk officers

Field Responsibilities

  • Support the planning, organization and facilitation of workshops / trainings/activities of the project
  • Plan, organize, facilitate and participate in internal/external training or workshops related to the portfolio of activities
  • Other duties as required

Recruitment Qualifications:

Education: Bachelors in Business Administration/ Bachelors in Business Studies. Masters preferred
Work Experience: A minimum of 3 year of professional experience supply chain management task, studies with specialty in Procurement procedure would be an asset
Languages: Fluency in spoken and written English and Nepali Typing skill is a plus

Key skills: 

  • Computer skills: Applicants must have a thorough understanding of MS Office applications and logistics software necessary ( if applicable) to conduct research and complete routine/moderately complex tasks
  • Analytical skills: Applicant must be able to assess moderately complex information from multiple sources and draw logical conclusions
  • Interpersonal skills: Applicant must establish and preserve productive partnerships with vendors/suppliers by gaining their trust and respect, as well as nurture an effective working relationship with the work team
  • Communication skills: Applicants must be able to communicate with various stakeholders, including visitors, colleagues, vendors, etc. It is also vital for attending to complex questions in a clear and concise manner, and reporting the status of assigned tasks
  • Organizational skills: Applicant must be able to plan, prioritize, and manage their own activities and office workflow even when working under tight deadlines
  • Flexibility: Applicant must be willing and able to adapt to changing work requirements and priorities that may require overtime or extended hours.
