Job Description

Reports To: CEO / OD

Purpose of the Role  

  • To ensure a smooth running of CEO/ Operations Director’s Office  

Key Duties 

The role of Executive Assistant comprises following duty and responsibilities:  

  • Manage the daily/weekly/monthly agenda and arrange new meetings and appointments 
  • Prepare and disseminate correspondence, memos  
  • Support and facilitate the completion of reports 
  • Create and maintain filing and other office systems  
  • Make travel arrangements 
  • Maintain appointment schedule 
  • Follow organization’s governance calendar and organize meeting accordingly 
  • Liaise with staff in other departments and with external contacts 
  • Draft agenda, minutes of meeting, coordinate with the entire department and follow up on action  points from the meetings  
  • Make necessary arrangement for welcoming the VIP guests 
  • Manage emails accounts and communicate via emails on behalf of Line manager
  • Assisting executives with project tasks 
  • Maintain and manage Central Drive  
  • Manage communications and coordinate various sister organization projects on behalf of the  management 
  • Maintain record of company Letterheads
