  • Strong organizational skills with the ability to multitask and prioritize effectively. 
  • High degree of professionalism, discretion, and time management.
  • Ability to adapt to changing schedules and work independently.
  • Knowledge of the Chinese language (spoken and/or written) is a plus and will be considered an asset.

Job Description

We are seeking a detail-oriented and motivated Executive Assistant to the MD with 2-3 years of Experience to join our team.

Responsibilities:

  • Manage the MD’s calendar, coordinate meetings across time zones, and ensure schedules are followed efficiently. 
  • Monitor and manage emails on behalf of the MD, including drafting and proofreading professional correspondence. 
  • Arrange travel plans for the MD and international team, including flights, accommodations, visas, and itineraries. 
  • Prepare agendas, meeting materials, presentations, and minutes; ensure timely follow-ups and circulation to stakeholders. 
  • Coordinate with internal departments and external stakeholders, including vendors and key clients, maintaining a professional and cordial relationship.
  • Oversee vendor contracts, ensuring timely renewals and proper documentation. 
  • Prepare accurate daily and weekly reports for the MD and maintain relevant company records data.
  • Support key project deliverables by tracking milestones, assisting in documentation, and following up with internal teams as needed.
  • Serve as a point of contact for internal communications related to the MD’s directives and ensure smooth implementation.
  • Handle confidential information with discretion and perform any additional duties assigned by the MD.
