Location: Moware office, Bouddha, Kathmandu. Priority will be given to candidates residing nearby.

HMSP is seeking an Executive Assistant - Retail who will provide comprehensive support to the General Manager and support various aspects of admin, sales and business development. This role is mainly involved with our project of moware.

Responsibilities:

Sales Support:

  • Oversee daily shop operations, assist clients, and ensure a friendly and professional customer experience.
  • Provide excellent customer service by addressing inquiries, resolving issues, and ensuring a positive customer experience throughout the sales process.
  • Restocking the shop daily and maintaining the shop’s aesthetic and display to align with the brand's visual standards.
  • Assist with administrative tasks, including data entry, preparing sales reports, and maintaining customer databases.
  • Assist in managing inventory, deliveries, tracking shipments, and coordinating with logistics team to ensure timely deliveries.

Business Development:

  • Support business development initiatives, including conducting market research, identifying potential partnerships, and assisting in the formulation of business expansion strategies.
  • Assist in the preparation of presentations, reports, and proposals for potential business opportunities.
  • Assist in the launching of new projects through the different phases from ideation, research, implementation and execution.

Executive Support:

  • Act as a point of contact between the GM and internal/external stakeholders, suppliers and clients, handling communication and prioritizing correspondence.
  • Provide high-level administrative support to the General Manager, including managing calendars, scheduling meetings, and coordinating travel arrangements.

Office Management and Coordination:

  • Oversee weekly production reports and ensure the stock sheet is updated and accurately maintained.
  • Maintain records of company invoices, purchases, and other financial documents, and coordinate closely with the Procurement Assistant.
  • Manage administrative tasks within the office, such as organizing meetings, maintaining office supplies, and ensuring a smoothly functioning work environment.
  • Keeping an inventory of office supplies and purchasing supplies as necessitated.
  • Completing bank transactions such as the deposit of cash and cheques and carrying out basic bookkeeping.
  • Communicate to the reporting manager on performance and issues related to allocated work daily.
  • Coordinating with our partners and documenting interactions such as artist residency program.
  • Other tasks as assigned by the company from time to time to thrive and grow in the role.

Requirements:

  • Passionate about social change and environmental protection.
  • Excellent verbal and written communication in English.
  • Exceptional organizational and multitasking skills with the ability to prioritize tasks.
  • Strong communication and interpersonal abilities to liaise effectively with diverse stakeholders.
  • Proficiency in office software and productivity tools (Google Workspace).
  • Ability to maintain confidentiality, exercise sound judgment, and handle sensitive information with discretion.
  • Bachelor's degree in business administration, marketing, sustainability, or related field is preferred.
