Karkhana Samuha seeks a qualified and experienced vendor to provide services necessary for it to carry out research study through the Facilitating an intergenerational dialogue through a co-created participatory arts-based community curriculum as a part of Mobile Arts for Peace (MAP) project.

About MAP: Mobile Arts for Peace (MAP) is a practice-as-research project supported by the Global Challenges Research Fund (GCRF) through the Arts and Humanities Research Council (AHRC). The aim of MAP is to work with young people, educators, cultural artists, civil society workers and policy makers to inform National Curriculum and Youth Policy using arts-based approaches for peacebuilding.

As part of the MAP program, Karkhana Samuha’s has been awarded a medium grant to study the role of art-based practices to facilitate intergenerational dialogue in Nepal. To undertake this work, KS wishes to engage a third party vendor to support it in executing non-core tasks namely
1. Event Management
2. Travel and Logistics
3. Design and Documentation

Minimum Qualifications of Vendor

  • Operation and experience of more than 5 years in service providing.
  • Experience in conducting non-profit activities in education. Experience organizing national or international conferences is a bonus.
  • Having yearly turnover of at least 4 million or over Nepalese Rupees.
  • May collaborate with one another party to cover key skills. However, the primary applicant must fulfill all of the three above criteria individually.

Services Required

1. Event Management

    A. 4 Workshops in Kathmandu for 35 people.

  • The full-day workshops should offer tea/coffee, full lunch and afternoon snacks. Vendors will also have to provide chart papers, pens, papers and notebooks as required.

    B. 5 Days long in Hetauda for 30 people.

  • The 5 half-day workshops should offer tea/coffee, and snacks and vendors will also have to provide consumables necessary for the workshop.

    C.  5 Days long in Surkhet for 30 people.

  • The 5 half-day workshops should offer tea/coffee, and snacks and vendors will also have to provide consumables necessary for the workshop.

    D. 6 Youth-led workshops in Kathmandu

  • The 6 half-day workshops should offer tea/coffee, snacks and vendors will also have to provide consumables necessary for the workshop.

    E. National Conference

  • A half-day national conference will involve 30 - 40 people, including lunch, venue, projectors, notebooks, pens and other necessary consumables.

2. Travel and Logistics

  • Movement for 35 people within Kathmandu valley to 16 schools over a 2-month period
  • Travel, accommodation and local transport for 10 people to Hetauda for 5 days and 6 nights
  • Travel, accommodation and local transport for 5 people to Surkhet for 5 days and 6 nights

3. Design and Documentation

  • Process Video: create a process video of the project. This involves shooting footage of workshops and activities in Kathmandu. Coordinating with the team to get user generated footage and photos of locations outside Kathmandu, and to collate and edit all the material together into a single coherent video
  • Project Video: a video that explains the aims and objectives of the project. Vendor will coordinate closely with project leadership to develop this video
  • Photographer for events: generate photos of all project events in Kathmandu. Coordinate with project team members to get high quality images of events outside Kathmandu
  • Copyediting: provide copy editing services for the quarterly reports and final report. 
  • Design of Report: provide design services for quarterly reports and final reports

4. Payment Protocol:

  • This is a performance-based contract. Thus the vendor will NOT be required to submit bills and receipts of actual payment
  • However, the vendor and KS will agree to reports, documentation and other means of verification that each task has been completed. The vendor will be required to submit all such proof of work as part of their contract
  • The vendor will be paid 40% of the agreed-upon sum at the time of contract signing. An additional 40% will be paid when half the agreed to tasks and complete. A final 20% will be paid at the end of the project after all verification reports have been submitted and validated by KS
