Job Description

We are seeking a highly organized and detail-oriented Documentation Officer to manage and maintain our organization's records and documentation processes. The successful candidate will be responsible for ensuring accurate, accessible, and secure documentation practices across departments, supporting internal reporting, compliance, and information-sharing needs.

Key Responsibilities:

  • Develop and implement documentation systems, standards, and best practices.
  • Collect, organize, and maintain accurate records, reports, and correspondence.
  • Coordinate with various departments to ensure timely submission of project reports and documentation.
  • Maintain both digital and hardcopy filing systems in compliance with organizational policies.
  • Review, edit, and format documents for clarity, consistency, and quality.
  • Ensure version control and secure storage of all official documents.
  • Assist in preparing documentation for audits, donor reports, and external evaluations.
  • Train staff on documentation procedures and tools as needed.
  • Perform regular backups and ensure document retrieval efficiency.
