Job Description

The Documentation Officer will be responsible for managing and organizing all recruitment-related documents. This role involves ensuring that all paperwork is up-to-date, compliant with relevant regulations, and properly stored. The position requires attention to detail, excellent organizational skills, and the ability to work with multiple teams to maintain the documentation process smoothly.

Job Responsibilities:

1. Document Management:

  • Prepare, review, and maintain recruitment-related documents (CVs, application forms, interview notes, job offers).
  • Organize and categorize documents for easy retrieval and compliance.
  • Ensure all candidate documents are complete and comply with legal and company requirements.

2. Data Entry & Record Keeping:

  • Maintain accurate and up-to-date records of candidates and recruitment activities.
  • Input candidate details into the company’s database or management system.
  • Ensure timely and secure filing of documents, adhering to archiving procedures.

3. Compliance & Quality Control:

  • Verify that all documentation meets legal, regulatory, and internal standards.
  • Conduct periodic audits of recruitment files to ensure compliance with company policies and relevant laws.
  • Ensure confidentiality and security of documents and personal data.

4. Collaboration with Teams:

  • Work with HR and recruitment teams to ensure smooth documentation flow.
  • Assist in the preparation of recruitment-related reports (job vacancy updates, candidate status, hiring statistics).
  • Support the team during recruitment drives, interviews, and onboarding.

5. Preparation of Official Communication:

  • Draft and prepare communication letters, offer letters, and contracts.
  • Coordinate with candidates and clients for necessary documentation requirements.

6. General Administration:

  • Handle phone calls, emails, and inquiries related to documentation.
  • Ensure timely dispatch and receipt of important documents.
