Job Description

We are seeking an experienced and Professional Documentation Officer to manage and oversee the creation, storage, and organization of documents and records within our organization. This role involves ensuring document accuracy, compliance, and security while supporting various departments with their documentation needs. The ideal candidate will have a strong understanding of document control practices, regulatory standards, and excellent organizational skills.

Key Responsibilities:

  • Develop, implement, and maintain document management systems to ensure the efficient organization, storage, and retrieval of documents.
  • Manage the entire document lifecycle, including drafting, reviewing, editing, and archiving records and files.
  • Ensure all documents are accurate, up-to-date, and comply with internal policies and external regulations.
  • Coordinate with various departments to gather required documentation, verify data, and ensure completeness.
  • Maintain document security and confidentiality, controlling access levels based on user roles.
  • Track document revisions, changes, and approvals, and maintain a record of all modifications for audit purposes.
  • Train and support team members on document control procedures and best practices.
  • Prepare and provide reports related to documentation activities and compliance status.
  • Conduct regular document audits and assist with preparing documents for inspections or compliance reviews.
  • Identify and implement improvements to document management practices to enhance efficiency.
