Job Description

Job Purpose: Work alongside the School Business Manager to provide leadership in the oversight of the effective and efficient functioning of all administrative,  human resource, financial, logistical, procurement, operations, and maintenance staff.

Main Responsibilities: 

  • Work alongside the School Business Manager to provide leadership in the oversight of the effective and efficient functioning of all administrative,  human resource, financial, logistical, procurement, operations, and maintenance staff, including  planning for and monitoring their performance management and evaluation 
  • Ensure the smooth daily running of the operations and support processes and procedures of the  school, particularly regarding its financial viability 
  • Ensure compliance with all Nepali policies, laws, regulations, legislation and other legal aspects in  relation to the operation of the school in Nepal, in accordance with the school’s own constitution and  policies 
  • Contribute to the well-being and sustained security of the school through interactions with Nepalese Stakeholders 
  • Main Functions and Tasks 

The Deputy Business Manager will undertake the following functions and tasks in the  fulfillment of their duties, under the following thematic areas: 

Leadership and Management: 

  • Alongside the Business manager, supervises all admin, finance, HR, logistics, procurement, and support (ground) staff while ensuring the implementation and adequate quality of delegation of authority, taking direct line management responsibility for aspects of this.
  • Manages staff in accordance with TBS management policy, principles, and guidelines to promote a  sense of corporate identity, enabling employees to carry out tasks independently and creating scope  for creativity and innovation 
  • Supports the continued professional development of all administrative staff reporting to them, and  the consequential contribution of new skills and knowledge to the improvement of the function of the  school 
  • Conducts annual performance planning and assessment of team members reporting to them and  ensuring the implementation of TBS HR policy related to non-teaching staff in consultation and  agreement with the Senior Leadership and Management Team
  • Leads by example, acting as a moral compass and promoting a positive working atmosphere and  harmony amongst all administrative staff and other school employees 

Administration and Finance: 

  • Assists in the preparation of the school’s annual budget, and tracking of expenditure management including the preparation of interim updates 
  • Supports the sound financial monitoring system and processes, with technical and administrative  staff, to track fund-flow and its implications 
  • Facilitate the internal and statutory audits as per the school’s financial policy 
  • Alongside the Business manager, manage the accounting, requisition and financial system, processes and staff responsible 
  • Supports the Business Manager in preparing reports and data related administrative, financial and legal aspects of the functioning of the school
  • Ensure new administrative and other staff under their supervision are informed and updated about  existing and new procedures, rules and regulations, HR policy and other relevant policies on an as required basis
  • Assist in the disbursement of salaries to the entire staff of the school - including arranging the  standing order payments for expatriate staff 
  • Alongside the Business Manager, ensure that bank reconciliation - NRS, GBP, USD, fixed deposits, etc. are handled and monitored  correctly on a monthly basis 
  • Alongside the Business Manager, ensure the timely billing and collection of pupils’ deposits/fees and other dues 
  • Alongside the Business Manager, ensure the delivery of timely tax remittances to the Nepali tax office 
  • Assist their staff in preparation of budgets for trips and professional voyages, continuous  professional development measures etc. 
  • Ensure the correct financial management and accounting of the community shop 

Human Resources: 

  • Facilitate, in collaboration with the HR Manager, the job descriptions and contract preparation of  new staff, and contract amendment and updating of any changes to existing contracts ∙ Ensure that job descriptions and contracts are in line with the school policy, and ensure functional  assignments accordingly 
  • Support the HR and Finance staff to manage the bookings of flights and hotels for staff travel when  necessary 
  • Assist in the management and maintenance staff responsible for the residences of the expatriate staff,  including providing a four-eye policy on contract negotiations.
  • Assist in the visa/work permit obtaining and renewal process for the expatriate staff ∙ Oversee and backstop the management of the insurance policy obtaining and renewal for both local  and international staff 

Logistics, Operations, and Site Maintenance: 

  • Ensure the general state of the school buildings, by overseeing and supervising (where appropriate)  the staff responsible 
  • Alongside the Business Manager, ensure appropriate management of all ground staff – both skilled and unskilled
  • Assist the crisis management team in their works and in dealing with concerns and issues arising 

Resource & Procurement: 

  • Assist in the oversight of  the work of resource department including the process of payment to suppliers, contractors, for rent, etc. for the entire school property  and services procured 
  • Manage their staff responsible for the maintenance and upkeep of inventories / fixed assets,  including the community shop 
  • Support the budget management staff and processes for each department 
  • Ensure regular inventory control and management of school property is undertaken 
  • Oversee the staff and processes responsible for the assignment of tasks to the transport monitors ∙ Support the Transport Manager in developing best practices for time management
  • Facilitate in the preparation of contracts - Vendor, Landlord, Staff, Staff House Rental, etc. 

Other duties/additional tasks:

  • Contributes to knowledge management of TBS by compiling information related to their area of  responsibility  
  • Immediately reports problems concerning his/her area of responsibility to the Principal 
  • Carries out tasks newly assigned to him/her by the Principal
