Key Job Description:
- VIN is looking for a Communication Officer
- Responsible for communicating upcoming Mid Term / Long Term (LMTV), Short Term, Workcamp, Group volunteers and partner organizations on behalf of VIN
- Freshers are encouraged to apply
Education: Bachelor’s (Master’s Preferred) Degree in any discipline
Expected Qualities: Fluent in Written & Spoken English, excellent interpersonal communication skills, flexible, adaptable, hard-working, passionate about empowering disadvantaged people, punctual, coordination and negotiation skills, leadership, planning, reporting & documentation.
Major Roles with Volunteers:
- Timely response to inquiries
- Send regular follow-up emails
- Review resume / CV and motivation letters, summarize and send to related project staff to match volunteers’ skills and interests with the project.
- Assist recruitment process via Skype, WhatsApp, telephone and emails
- Visit host families, local partners and working communities and collect the required information
- Create/update host family and school profiles.
- Update info sheets for each project and general information.
- Communicate current volunteers’ work effectiveness and concerns to the staff for volunteers’ best experiences
- Ensure that all volunteers come with the required working gear, resources
- Assist international volunteers’ issues during the office hours
- Support volunteers’ travel plans
Partners Organization:
- Respond to their emails
- Prepare and send acceptance letter on time
- Provide regular updates to the partners on their onsite work progress
- Create and provide promotional resources – articles, testimonials, videos, photos etc. to assist the recruitment process for the partners
- Create new projects and project info based on the research done by volunteers, staff and community stakeholders
- Update website content and data based on current plans and practices
- Coordinate with staff and send working plans and schedule at least one month before volunteers’ arrival
- Inform partners about the situation of the volunteers on time (in case of emergency)
- Provide any documentation/forms required for partnership
Support to Past Volunteers:
- Help interested volunteers in alumni groups
- Provide regular updates on their projects if they are interested
- Prepare and send necessary documents for the volunteers/interns, such as recommendation letters, participation letters, internship documents
- Encourage them for their further involvement virtually in their related projects
- If the past volunteers are interested in giving presentations to their local communities or universities, provide resources – presentations, photos, videos, and articles for the promotion purposes
- Communicate the need for funding for the sustainability of the projects/causes
- Respond to their inquiries and needs
Documentation:
- Update volunteers’ database
- Update L/MTV, work camps, group volunteer project information
- Update the list of resources that upcoming volunteers must bring project wise
- Prepare monthly social media plan and newsletter
- Prepare other official documents per need
Administration:
- Coordinate with project and volunteer management staff to communicate necessary information to volunteers and partners
- Do any other admin work as per necessity
- Send volunteer's testimonials, articles, videos, photos, and articles to the related staff and webmaster
- Communication for Child Sponsorship:
- Coordinate with staff for child sponsorship info
- Send regular updates of the sponsored children to the sponsors (April / August / December)
- Send child sponsorship booklet to sponsors
- Coordinate with sponsors and the organization
- Communicate sponsors’ info to the child through staff
Travel trek arrangement:
- Schedule and plan travel, trek for volunteers
- Liaise with the travel, airline, and bus companies accordingly
- Coordinate and organize meditation and yoga retreat plans
