Job Description

Position Overview 

Associate Finance Manager is a member of the Finance Department. This position is required to collaborate with the Finance Manager to direct, control and administer the finance department. Associate Finance Manager is responsible for managing the financial health of the organization in order to promote success and growth while maintaining legal financial practices. 

Key Roles 

1. Financial Management 

  • Prepare monthly financial report, cash flow, and MIS 
  • Develop a chart of accounts for Xero and implement accordingly 
  • Perform financial planning, monitoring, and coordination 
  • Prepare annual budgets, forecast, and variance report 
  • Review and revise the annual financial target 
  • Project profitability analysis 
  • Prepare a financial report to meet ad-hoc demands from different departments 
  • Build Financial systems, policies, and procedures 
  • Update and implement all necessary business policies and accounting practices; improve the finance department’s overall policy and procedure manual 

2. Accounting Management 

  • Support and supervise Finance Officer in creating and processing invoices, preparing sales slips, and verifying revenue in Xero and sales reconciliation 
  • Support and supervise Finance Officer in following up client for payment 
  • Resolve financial disputes raised by the client 
  • Support and supervise Finance Officer and Finance Associate in bookkeeping and accounting activities 
  • Reconcile data and reports, resolve discrepancies, and collaborate across various Finance and non-Finance functions effectively 
  • Ensure reconciliation with Smartsheet to verify project revenue
  • Complete regular reconciliation and monthly/ quarterly/ annual closing of the organization's financial transactions and review financial status and work with teams to provide recommendations to the management team to ensure financial efficiency 
  • Support and supervise Finance Officer and Finance Associate in petty cash management 
  • Support and supervise Finance Officer in verifying the accuracy and appropriateness statements of expenditures and their supporting documents, and in verifying payment requests against bills and documents for supplies and equipment 
  • Support and supervise Finance Officer and Finance Associate in payroll and payslip processing, timely salary disbursements and recording, evaluation of TDS on personal income, and making consequent IRD depositions 
  • Support and supervise Finance Officer in taxation planning of employees at Kathmandu office 
  • Plan and execute payroll and payslip processing of employees at Sydney office 
  • Ensure timely payment of miscellaneous expenses on issues such as but not limited to: rent, insurance, phone, electricity, water, etc with the help of Finance Associate 
  • Ensure vendor management and timely payment to vendors with the help of Finance Officer and Finance Associate 
  • Support/work closely with Operations Officer in office operations, logistics, procurement, infrastructure, supply, security, and related expenditure 
  • Manage fixed assets including documentation and monitoring 

3. Risk Management 

  • Prepare financial statements 
  • Support and supervise Finance Associate in coordination with concerned government bodies 

4. Compliance 

  • Ensure compliance with VAT and TDS policies of the Government of Nepal 
  • Support and Supervise Finance Associate in preparation of ETDS and tax submission 
  • Support and Supervise Finance Associate in compliance and finalization of SSF and CIT submission in government portal 
  • Support and Supervise Finance Associate in updating records on staff insurance policies and processing of claims in coordination with People Ops department and insurance company 
  • Review and evaluate various policies, systems, procedures, applicable rules, and regulations and recommend for implementation and appropriate revision 
  • Prepare contract documents with vendors, third parties including but not limited to the rental agreement, Contract negotiation, etc. 
  • Review and manage overall internal control system, finalize a payment schedule and proceed for payment with signature 

Competencies 

  • Ability to compile and prepare financial and budget data in-line with corporate rules and regulations 
  • Experience in analyzing budget trends and monitoring expenditure across multiple accounts.
  • Expertise with procedures required for adequate planning, monitoring, and realigning of complex budgets 
  • Skilled in managing and compiling financial data for reporting 
  • Excellent computer skills as they relate to financial management 
  • Excellent oral, written, teamwork, and interpersonal skills with evidence of ability to productively interact with different positions/levels 
  • Ability to work independently and also in the team 
  • Efficient and excellent time management skills 
  • Excellent supervision and delegation abilities 
  • Strong headed, tactfulness and excellent situation handling abilities
