Purpose of the role
Assistant Event manager plan and organise promotional, business and social events. They're responsible for running a range of events, ensuring the target audience is engaged and the message of the event is marketed properly. As an event manager, you'll organise conferences, seminars and exhibitions, as well as parties and corporate incentive trips. You'll manage the whole process from the planning stage, right through to running the event and carrying out the post-event evaluation. The role is primarily hands-on and often involves working as part of a team.
Job Responsibilities:
- Assisting the events team with a high number of events, ranging from small meetings to award ceremonies
- Plan event from start to finish according to requirements, target audience and objectives
- Accompanying events manager to both internal and external events
- Promoting events across all social media platforms
- Supporting the events manager with logistical and administrative support
- Maintaining records of all bookings e.g. venue and catering and taking payments where necessary
- Ensure event is completed smoothly and step up to resolve any problems that might occur
- Analyze the event’s success and prepare reports
- To directly assist the Event Manager with the delivery of all events
- To promote G Live through a series of relevant tactical marketing activities in partnership with the Marketing Department
- To work closely with all internal departments to devise innovative packages and promotions
- To manage events operationally to ensure exceptional levels of service are achieved
- To liaise with the Front of House Manager, ensuring the smooth operation of all hospitality and events
- To implement and monitor service standards, standard operating procedures and all housekeeping of our event space.
- To be aware of all company requirements for month end procedures and understand the profit and loss reports
- To produce invoices and process banking in accordance with company standards, procedures and policy
- Conduct accurate timely cashing up procedures and create the appropriate records on time
- Liaise with customers to ensure all upselling opportunities are realised
- To assist where necessary with response to enquiries
- To act as the first point of contact for all corporate clients as necessary
- To ensure all enquiries are properly recorded and chased appropriately
- Assisting with creative decisions
- Attending all meetings to act as a second point of contact
- Ensuring all branded items for events arrive on time
- Come up with suggestions to enhance the event’s success
- Prepare budgets and ensure adherence
- Source and negotiate with vendors and suppliers
- Coordinate all operations
- Lead promotional activities for the event
- Supervise all staff (event coordinators, caterers etc)
- Approve all aspects before the day of the event
- Any other duties assigned by the manager
