Job Description

Administrative Management

  • Manage daily office operations, including procurement of supplies, document filing, and handling incoming/outgoing mail.
  • Maintain office environment and ensure all equipment (e.g., printers, audio systems) are functioning properly.
  • Coordinate internal meetings, prepare materials, and take minutes.

Document and Data Management

  • Draft, organize, and archive important company documents, reports, and contracts.
  • Handle internal and external communications, such as emails and letters.
  • Perform data entry, prepare reports, and maintain internal databases.

HR Support and Staff Training

  • Assist in recruitment processes, including scheduling interviews and organizing resumes.
  • Manage employee attendance records, leave requests, and assist in payroll data preparation.
  • Coordinate onboarding and offboarding procedures, as well as internal training programs.
  • Conduct irregular work performance evaluations and compile reports for supervisors.

External Liaison and Coordination

  • Communicate with vendors, partners, and government agencies to handle various tasks and collaborations.
  • Arrange business travel for executives and staff, including flight, hotel, and transportation bookings.
  • Organize and coordinate company events such as annual meetings, and events.

Finance and Reimbursement Management

  • Handle expense reimbursements and assist in initial review of receipts and documents.
  • Support basic financial administration, including invoice filing, budget preparation, and financial data compilation.

Other Duties as Assigned

  • Perform other administrative or project-related tasks as assigned by supervisors.
