Job Description

An Administrative Assistant is responsible for a variety of clerical and organizational tasks necessary to keep the business running in an efficient and organized way.

Reports To: HR/Admin Manager

Responsibilities:

He shall particularly ensure the accomplishment of following deliverables:

  • Keep records of all office equipment
  • Assist in procurement and maintenance of office supplies/equipment and maintain its database
  • Assist in procurement and issue of stationery to various divisions and maintain their proper records and maintenance of sundry equipment like mobile phone, telephone, calculators etc
  • Maintain office supplies, its inventories and coordinating deliveries.
  • Ensure general office maintenance like, housekeeping, pest control, hygiene, electrical and mechanical, sanitary and plumbing, space management, minor repairs (Carpentry, masonry, furniture, painting etc.)
  • Help in maintaining effective cash management by making deposits and withdrawals of cash and cheque
  • Perform duties such as photocopying, fax and mailing for other departments
  • Perform reception duties when receptionist is not available (especially after office hours)
  • Collect revenue, bill and advertisement as and when necessary.
  • Receive and file incoming letters, documents
  • Ensure rules and procedures in place regarding working hours, lunch, office closure and communications about security
  • Create, control, and monitor all administrative requirements of other departments
  • Manage supply chain and resource requirements
  • Maintain proper electronic and hard copy filing system so that documents can be retrieved as and when required
  • Record, compile, transcribe and distribute minutes of meetings
  • Perform other tasks assigned by the superiors
  • Assist in maintaining effective communication system by receiving, opening, sorting and distributing incoming correspondence
  • Should visit the market in the daily basis
