Deloitte is seeking resumes of qualified candidates for a five year USAID funded Nepal Hydropower Development Project (NHDP) in Kathmandu, Nepal.  This is a part-time annual position based in Kathmandu, expected to be structured as 4 working hours per day Monday to Friday (negotiable) with possibility to extension based on the funding. 

Project Description

Deloitte Consulting is the implementing partner for the USAID Nepal Hydropower Development Project (NHDP) in Nepal. The NHDP will focus to expand access to modern, high quality hydropower services for the citizens of Nepal and to realize the potential for Nepal’s hydropower exports in South Asia. The project will accomplish this by facilitating private sector investment in hydropower resources in Nepal in an environmentally and socially sustainable manner. The project will also support the restructuring of the electricity sector to create viable, efficient national power services and promote expanded electricity trade between India and Nepal.

Admin Assistant- will play a key role in the operations of the NHDP project by undertaking general administration, procurement and finance tasks under the guidance and direction of the Senior Procurement Officer and Office Administrator & Senior Finance and HR Officer, with oversight from the Director of Finance, Accounting and Compliance. 

The position reports directly to the Procurement Officer and Office Administrator & Finance and HR Officer.

Responsibilities: 

Office and Facilities Management

  • Manage filing systems; such as record management and recording office maintenance, kitchen and office supply expenditures, emergency items, drinking water
  • Keep Generators, AC’s, plumbing, wiring and all other electrical systems in good working order to ensure the proper functioning of a building. Ensure water tanks are always topped up with water
  • Ensure the compound and inside each office is always clean, ensure garbage disposal 
  • Maintain vendor Contact List, Project Database, Supply Tracker, Vehicle log sheet etc.
  • Ensure the items included in emergency go bag are usable and refilled immediately if expired or if they have been used during any emergency events
  • Support with regular procurement of stationery, office supplies, cleaning items and gardening items as required 
  • Other duties as required

Travel and Logistics Management

  • Prepare daily logistics plan and circulate it to the concerned staff.
  • Assist Procurement Officer & Office Administrator on any event management as required
  • Follow up with vendors (hotels, vehicle vendors, etc) to ensure pre-arranged services are confirmed and ready 
  • Send outlook appointments for travel schedules to project team 
  • Assist with visa follow up and run-around between ministries 
  • Assist with regular monitoring to verify vehicle supplies and documentation 

Other Administrative Duties

  • Answer phones, take messages, and re-direct calls as needed
  • Assist with photocopying, printing, scanning and filing as needed
  • Assist with translation of documents (non-technical) between Nepali and English  

Financial Management & Human Resource Management

  • File and track project purchase requests and supporting documentation along with the recurring tracker
  • Visit NEA, Nepal Telecom, and Nepal Water Supply Corporation for bill payment
  • Assist with photocopying, printing, filing as needed, primarily as related to non-confidential financial record keeping
  • Assist Finance and HR Officer in E-TDS and tax filing requirements and other tax related tasks as required
  • Process payments for vendor invoices and monitor payments / follow up as needed with bank 
  • Visit bank for deposit and other office related work
  • Assist with VAT tracking and claim process
  • Coordinate with insurance companies for staff’s health and accidental insurance
  • Assist with end of year document preparation and audit preparation
  • Support Finance and HR Officer in handling petty cash transactions
  • Prepare fund transfer request letters and follow up with the bank for timely payment
  • Any other duties as assigned by immediate supervisor

Qualifications:

  • Bachelor’s Degree in relevant discipline
  • Fluent in written and spoken English
  • 6 months of work experience preferred in administration and/or finance departments in similar role supporting donor projects in development work (USAID experience  is preferred) 
  • Self-starter, energetic and willing to learn, receive feedback and improve skills and performance
  • Comfortable with performing all levels of routine and repetitive tasks 
  • Strong ethics, integrity and ability to maintain confidentiality with sensitive data and information
  • Strong organizational and interpersonal skills
  • Basic computer skills including knowledge of Microsoft Office® applications, particularly Excel and Word
  • Strong interpersonal skills and writing skills
  • Flexible and adaptive personality
  • Ability to work effectively in a multicultural environment
  • Willingness to establish good working relationships with a variety of people
