Job Description

Reports To: Chapter Manager, EO Nepal

Job Summary:

The Administrative Assistant will provide administrative and operational support to the Manager to ensure smooth and effective functioning of EO Nepal’s activities and events. This role involves coordinating logistical tasks, maintaining office systems, supporting documentation processes, and assisting in event execution.

Key Responsibilities:

Administrative Support:

  • Assist the Chapter Manager in day-to-day tasks, calendar management, and internal coordination.
  • Maintain organized filing systems for physical and digital documents.
  • Prepare and format reports, memos, and communication materials as needed.

Event Coordination Assistance:

  • Support in logistical planning and execution of events (venue setup, attendee coordination, materials preparation, etc.)
  • Assist in tracking event budgets and expenses.
  • Help manage guest lists, registrations, and RSVP tracking.

Vendor and Partner Support:

  • Coordinate with vendors and service providers under the guidance of the Chapter Manager.
  • Assist in obtaining and comparing quotes for services and supplies.
  • Assist in documentation and vendor payment.

Communication and Coordination:

  • Serve as a liaison between the Chapter Manager and EO board/staff/members when required.
  • Support email and phone communication related to events and office matters.

Records and Documentation:

  • Maintain up-to-date records for events, budgets and contacts.
  • Ensure proper documentation of contracts, invoices, and agreements.

Office Operations:

  • Ensure supplies, stationery, and materials are stocked and available.
  • Oversee basic office upkeep and maintain a professional working environment.

Support for EO Tools and Processes:

  • Assist in updating event planning tools and award tracking systems like the Rockstar Awards tracker.
  • Help manage membership documents and communication logistics.
