Job Description

Administration:

  • Implements and maintains effective and efficient facilities management including fully equipped, fully operational and highly maintained and clean facilities, including office buildings; warehouses, and accommodation
  • Manages human resource functions including recruitment, day-to-day management of staff and implementation of HR policies and procedures
  • Emplaces all appropriate IT equipment and infrastructure; ensures it is well-maintained, safeguarded, and properly functioning
  • Ensure that all administration related purchase orders, payments requests, leases, and invoices are verified and that payments are timely and paid according to financial procedures and contractual agreements
  • Establishes an effective filing and archiving system that provides quick and consistent access to all information and supporting documentation related to administrative/office operations
  • Establishes appropriate control systems, including staff attendance, and movement of national and international staff
  • Oversees all travel related services such as vehicle, accommodation and flight bookings

Logistics:

  • Provide management oversight of the procurement functions to ensure quality, timely and compliant procurement within an overall system of integrity
  • Maintain a strong understanding of the local and international markets to ensure top quality procurement at the best possible rates
  • Implement and oversee an inventory system of all property and equipment; maintain a database of expendable and non-expendable assets; tags assets
  • Maintain condition and security of ARC warehouses and stores; ensure that goods are stored appropriately
  • Organize all domestic and international deliveries and shipments; manage the importation and customs clearance elements
  • Supervise the fleet and ensure that systems are in place to track maintenance schedules, fuel usage and vehicle scheduling
  • Assist the Operations Delegate in maintaining and advising on appropriate security and safety systems and procedures and ensure all staff are aware of and adhere to these procedures
