Job Description

  • Supervising the day-to-day operations of the administrative department and staff members
  • Developing, reviewing, and improving administrative systems, policies, and procedures 
  • Planning, scheduling, and promoting office events, including meetings, conferences,  interviews, orientations, and training sessions. 
  • Collection of Quotations, Comparative Analysis, selection and onboarding of vendors. 
  • Formulate and implement procurement policy of the company as well as educate other  organizational members about it. 
  • Market Intelligence of products & services, vendor research with reference to purchase  need.  
  • Collection of sample goods and products as per the requirement of the company. 
  • Coordinate with departments for timely order planning, requisition and order placement. 
  • Monthly comparative analysis of Budget vs. Actual expenses 
  • Monitoring Supplier's performance and rate negotiation. 
  • Compose and maintain contractor and vendor listings, including sources of supply for  goods and services, handle contract disputes and resolutions 
  • Proper tracking and renewal of the vendor's contract. 
  • Timely invoice forwarding and payment of the vendors along with memo in coordination  with Finance Department. 
  • Facilitate Inventory Management, Stock Keeping and Assets Tagging. 
  • Proper record keeping and documentation 
  • Monthly progress reporting to the HOD. 
  • Any other tasks as assigned by the HOD/supervisor
