Job Description

 

As the Loan Admin Officer - AU Mortgage Loan, the candidate will have to process administrative tasks as set by the broker including ordering pricing and valuation, managing discharges, post-settlement loan maintenance, client surveys, calling banks to track loan progress and data entry in CRM and apply online. The candidate has to have a strong Australian Mortgage processing background, outstanding communication skills and fantastic organizational and time management skills. 

Key Responsibilities: 

  • Loan Pricing & Negotiation: Perform accurate loan pricing across multiple lenders, validate key data (LVR, loan terms, borrower details), request comparison rates, and negotiate competitive loan terms for clients. 
  • Property Valuations: Order and manage property valuations, verify key property and loan data, conduct market analysis, and liaise with valuers or lenders when required. 
  • Loan Changes & Forms: Prepare and submit forms for loan repayment changes, ensuring data accuracy and alignment with lender policies. 
  • Post-Settlement Documentation: Review executed loan documents, summarize key loan details, verify settlement info with banks, update CRM with fixed rate and interest-only expiry dates, and communicate to clients. 
  • Client & CRM Updates: Update client residential and mailing addresses post-settlement to maintain accurate records and prevent documentation errors. 
  • Client Feedback Collection: Send post-settlement surveys to clients, ensuring loans are settled before initiating feedback collection. 
  • Discharge Process: Prepare discharge forms based on loan strategy, and manage the discharge process by coordinating with banks and involved parties. 
  • Application Data Entry: Accurately input client and loan data into various lender platforms, ensuring consistency with supporting documents and internal notes, and flag any discrepancies. 
  • Client Engagement: Follow up with pre-approved clients to monitor their property search progress and maintain engagement. 
  • Contract & Solicitor Coordination: Review contracts of sale and draft emails to solicitors with all relevant property and contact details. 
  • Document Management: Organize and tag client-submitted documents, redact sensitive data, and maintain audit-ready digital records. 
  • Bank Communication: Liaise with bank reps to monitor loan status, resolve queries, and ensure accurate setup and updates in lender systems. 
  • Task Tracking: Record all task updates and conversations with detailed notes for clear communication and traceability. 
  • Internal Collaboration: Work with internal teams to ensure smooth processes, resolve issues, and deliver strong outcomes for clients.
