TEAM/PROGRAMME: Administration (Support Service Department)
LOCATION: Kathmandu
CONTRACT LENGTH: Till December 2016 with possibility of extension
CHILD SAFEGUARDING - Level 1 :The position holder will not have contact with children and/or young people, or access to personal data about children or young people, as part of their work

ROLE PURPOSE:
To provide support to international staffs regarding travel, hotel bookings, visas, flights. S/he will provide adequate administrative support in internal meetings/workshops.

MAIN RESPONSIBILITIES:

Facilitate Visa processing of all international staff in emergency
Manage hotel bookings for visitors, necessary logistics support. Coordinate and arrangement airport pick up and drop off for visitors.
Arrange domestic and international air tickets for all staffs as per their request. Timely booked air tickets (domestic & international) even in short notice or even on weekends
Regular update visitor's information list and circulate to Senior Management Team.
Provide adequate administrative support in internal meetings/workshops.
Update staff’s ID no under the supervision
Provides logistical support to organize training and workshops at Kathmandu and in field as required.
Coordinates with Transport Officer for vehicle arrangement for meetings/workshops/field visit for department
As a part of Dual mandate, be prepared to serve during emergencies.
Fulfil other requirements as per the need and request from supervisor.

QUALIFICATIONS & EXPERIENCE:

Bachelor’s degree in Management with 3 years* of working experience and including one year of experience in administrative roles (2 years* for application from GSI group)
Good planning, organizing, coordination and monitoring skills
Ability to work in a complex environment with multiple tasks, short deadlines and intense pressure
Proficiency in MS Office and in the Nepali & English languages.
