Job Description

We are seeking a highly organized and detail-oriented Administrative Assistant with expertise in documentation management and finance. The ideal candidate will provide comprehensive administrative support, manage documentation efficiently, and assist in various finance-related tasks. This role requires a proactive individual with strong multitasking abilities, a keen eye for detail, and excellent communication skills.

Key Responsibilities:

1. Administrative Support:

  • Provide administrative assistance to senior management and team members.
  • Manage calendars, schedule appointments, and coordinate meetings.
  • Handle phone calls, emails, and correspondence, ensuring timely responses.
  • Organize and maintain office supplies and equipment.

2. Documentation Management:

  • Ensure proper documentation storage and easy retrieval, both digital and physical.
  • Assist in the preparation, organization, and filing of legal, financial, and general business documents.
  • Maintain confidentiality and security of sensitive information.
  • Prepare and update reports, presentations, and other business documentation as required.

3. Finance Assistance:

  • Assist with basic accounting and finance-related tasks, including invoicing and accounts payable/receivable.
  • Help track budgets, and expenses, and prepare financial reports.
  • Ensure proper documentation of financial transactions and assist in audits.
  • Prepare financial statements and assist with monthly/quarterly reconciliations.

4. Process Improvement:

  • Suggest and implement improvements in administrative and documentation processes to increase efficiency.
  • Stay updated on best practices in documentation management and finance operations.

5. Cross-Departmental Collaboration:

  • Collaborate with HR, Finance, and Operations teams to ensure smooth flow of information.
  • Support the finance team during month-end close and year-end processes.
