Job Description

  • Handling incoming calls, greeting clients and visitors and forwarding information by receiving and distributing communications. 
  • Recording information and managing filing system as needed. 
  • Maintain equipment by ensuring that preventive maintenance is being done; troubleshooting failures; calling for repairs and monitoring equipment operation (All office equipment; Computers, Laptops, Printers, Scanners, Telephones, etc.) 
  • Bookkeeping: monitoring and recording expenditures. 
  • Keeping record of requisition forms in excel, following up for approval and process for purchase. 
  • Informing accounts & Finance department for required cash.  
  • Following up with vendors for purchased items. 
  • Checking the facilities of the office area eg: remote batteries etc. 
  • Recording maintenance work orders and informing the service provider, following up to get it done on daily basis and emailing the concerned manager. 
  • Checking the email: [email protected] and forwarding the queries to the concerned department.  
  • Planning and scheduling: Planning events like board meetings, appointments and visits. 
  • Collecting and mailing correspondence; copying information. 
  • Keeping records of items out, received, or transferred to another location. 
  • Maintaining supplies by checking stock to determine inventory levels, anticipating requirements, verifying receipt, stocking items. 
  • Book travel arrangements, meetings. 
  • Research deals or suppliers to get the best advantageous outcome for the company and employees; also negotiate terms with suppliers to ensure the most cost-effective orders 
  • Produce reports, presentations and briefs. 
  • Managing office supplies stock and placing orders. 
  • Updating paperwork and maintaining documents  
  • Help organize and maintain office common areas 
  • Perform general office clerk duties and errands. 
  • Maintains office schedule by picking-up and delivering items using an automobile. 
  • Serves customers by backing-up receptionist; answering questions; forwarding messages 
  • Work as reliever for HR related Task. 
  • Other duties as assigned by the concerned authority.
