Job Description

 This position is responsible for assisting the functions and administration of the Front Office department, not limited to handling the membership queries and member’s guests along with tracking the guests records and escorting visitors. He/she will be accountable for keeping track of vendor’s transactions bills/checks and cash settlements.   

Duties and Responsibilities 

 Admin office assistant work 

  • Payment receiving and log in tally.  
  • Responding to general email queries and escalating to relevant departments as required.  
  • Receiving calls.  
  • Cash settlement and filing of daily payment and submit to account assistant.  
  • Support in member filing and record keeping 
  • Place requests assigned by other departments.  
  • Handling the queries regarding club from potential members. 
  • Informing insurance on the staff claims, submitting the claims, receiving the cheques, and regularly updating the system with the claim information and comments. 
 Member Relation 

  • Handling member’s guest and new potential member at security gate.  
  • Keep the records of the guest entering Phora.  
  • Submit daily guest record sheet to admin office and tally.  
  • Make sure that members’ guests sign in and record properly.  
  • Escort visitors to designated places.  
  • Provide ID cards for non-members to enter Phora premises.  
 Handling and tracking the Smooth Transactions of Vendors and Suppliers.  
  • Keep the track records of vendors and supplier’s check.  
  • Escort vendors payment cheques to right person.  
  • Communicating between account and vendors to for the vendors payments.
  • Collecting vendors payment received receipts and providing to accounts.  
  • Placing access request & escorting for vendors and suppliers.  

 Other Specification 

  •  Fluency in written and vocal English language & strong communication skills 
  • Working knowledge in Excel and MS Office package. 
  • Good Organizational skills including prioritizing, scheduling and time management.
