Job Description

Department: Admin & Finance Deptt
Reporting To: Financial Controller / General Manager / CFO

Job Purpose

To manage day-to-day finance and administrative operations of poultry, piggery, and veterinary medicine business units. The role ensures accurate financial reporting, effective cost control, compliance with company policies, smooth administrative support, and coordination across multiple sites.

Key Responsibilities

1. Financial Management & Accounting

  • Maintain books of accounts for poultry, piggery, and veterinary medicine operations.
  • Record all transactions in ERP/accounting system (sales, purchases, expenses, assets, payroll).
  • Prepare daily cash/bank reconciliations and monitor fund position.
  • Assist in preparation of monthly, quarterly & annual financial statements.
  • Support budget preparation and monitor budget vs. actual variance.
  • Track accounts receivable & payable, ensuring timely collection & payments.
  • Manage costing of poultry batches, piggery units, and medicine sales.
  • Support inventory valuation of biological assets (poultry & pigs) as per IAS 41 and medicines as per company policy.

2. Compliance & Internal Control

  • Ensure all transactions are supported with proper vouchers, approvals & documentation.
  • Support internal & external audits with required data and explanations.
  • Ensure compliance with taxation (VAT, TDS, Excise, Income Tax) and statutory filings.
  • Implement and monitor internal control systems to minimize leakages, fraud, or misuse of funds.

3. Administration & HR Support

  • Maintain staff attendance, leave records, and payroll data.
  • Assist in recruitment, onboarding, and staff record keeping.
  • Ensure compliance with labor laws, company policies & insurance requirements.
  • Manage office administration: procurement of supplies, utilities, asset management, and maintenance.
  • Support farm-level admin activities (security, utilities, vehicle log, local purchases).

4. Cash & Bank Management

  • Manage petty cash and ensure proper cash flow tracking for each unit.
  • Process payments to suppliers, staff, and service providers on time.
  • Deposit collections and maintain cash/bank books accurately.
  • Reconcile inter-company and inter-branch fund transfers.

5. Reporting & Coordination

  • Submit daily/weekly/monthly financial & admin reports to management.
  • Provide costing and profitability reports for poultry batches, piggery production cycles, and medicine sales.
  • Liaise with farm managers, medicine sales teams, and procurement for financial clarity.
  • Act as a link between finance department and operations team.

Key Performance Indicators (KPIs)

  • Accuracy of financial records & timely reporting (>98% error-free).
  • Timely statutory filings & compliance (zero penalties).
  • Budget variance maintained within approved limits.
  • Smooth audit clearance with minimal queries.
  • Efficient fund & cash flow management.
