Ujyalo Foundation is a  non-profit organization, established in 2014, with a vision to create safe spaces for girls, women, and non-binary individuals to learn and lead in Nepal. Our mission is to enhance the number of girls, women, and non-binary individuals in leadership and decision-making roles in Nepal. The Foundation is a purpose-driven, dynamic, and impact-oriented organization, which believes in creating a gender-just and equitable world for all.

Since its inception, Ujyalo Foundation has been running various leadership institutes for women of diverse age groups, to build their capacity for leadership via the lens of gender, sexuality, rights, and intersectionality.

Ujyalo Foundation also focuses on sustainable development in rural Nepal by conducting programs that promote innovation, encourage social enterprise, and increase capacity building through community-based projects, gender-inclusive leadership, and strengthening the leadership and civic expansion of the elected women representatives.

Job Description

  • Monitor and manage the overall operations of the organization including Administration and Finance 
  • Plan, oversee, and arrange program-based logistics for smooth and efficient operations 
  • Track and ensure recurrent expenditures and program related expenses like payroll, rent and utilities are paid on time 
  • Develop, maintain and monitor all fundraising and accounting systems and procedures capturing all pledges, billings and receipts and for the recording of all revenue transactions 
  • Manage grantor contracts and maintain archival and administrative files 
  • Assist and lead the fundraising related activity conducted by the Foundation 

Financial Management :

  • Provide and interpret financial information 
  • Monitor and interpret cash flows predicting future trends 
  • Manage all bookkeeping following the organization's policies and prevailing policies of the state with all required supporting documents 
  • Act as a liaison with auditors to ensure periodic auditing is carried out 
  • Ensure that the books of accounts and other financial records are maintained and updated according to the prescribed standards 
  • Responsible for disbursement of staff salary and other payments in timely manner 
  • Responsible for making accurate payments to suppliers, consultants and other external parties 

Reporting :

  • Provide weekly, monthly, quarterly, and annual financial reports 
  • Ensure that quarterly expenses statements of partners are provided 
  • Conduct weekly meeting with supervisor to review the financial status of the organization 

Administrative Work :

  • Maintain a documented system of Financial, Procurement & HR policies and procedures 
  • Manage and monitor biometrics for all staff 
  • Manage and maintain petty cash fund with daily reporting to the supervisor 
  • Manage and monitor stockpile every month 
  • Manage leave cards and leave forms for all staff 
  • Oversee and manage the organizational calendar 

Partnership :

  • Facilitate the partner organizations to improve their accounting and internal control system as appropriate 
  • Ensure that the partners maintain proper books of accounts as per the acceptable standards of the organization and make financial reports to us accordingly 

Budget Management :

  • Forecast cash flow positions, and available funds for the smooth operation of the projects 
  • Ensure that sufficient funds are available to meet ongoing operations and capital investment requirements 
  • Manage the preparation of the organization's annual and budget 
  • Report to management on variances from the established budget, and the reasons for those variances 

Communication and Documentation :

  • Ensure strong and timely documentation from human resources to finance and logistical aspects 
  • Communicate with the team, BODs, stakeholders, and donors for the activities 
  • Manage and communicate admin related information to the team as needed, and during the weekly meeting 
  • Conduct one on one meeting for any admin related issues with the team
