Roles and responsibilities of this job

The Academic Coordinator is responsible for the planning, implementation, monitoring, supervision, documentation, and reporting of the school’s academic program. The role ensures effective curriculum delivery, instructional quality, academic discipline, and compliance with the school’s academic policies and standards.

This position requires independent academic planning, coordination, follow-up, evaluation, and reporting, beyond routine execution of instructions.

Duties and Responsibilities

Academic Planning & Curriculum Implementation

Prepare, coordinate, and ensure timely submission of annual academic plans, term plans, and academic calendars to the Vice-Principal/Principal
Coordinate curriculum implementation from Preschool to Grade 10 in alignment with the school’s approved academic framework
Ensure lesson plans, teaching materials, and assessment tools are prepared according to school guidelines and deadlines
Monitor syllabus coverage and ensure completion within the approved academic timeline
Coordinate internal examinations, unit tests, terminal exams, result compilation, and academic evaluations

Teaching–Learning Supervision

Supervise classroom instruction to ensure quality teaching, discipline, and achievement of lesson objectives
Conduct regular classroom observations and provide constructive academic feedback to teachers
Ensure teachers follow approved teaching methodologies, lesson structures, and assessment practices
Identify academic gaps and recommend corrective measures such as remedial classes or academic interventions
Ensure effective use of teaching aids, worksheets, and instructional resources

Teacher Coordination & Accountability

Coordinate and supervise teachers regarding:
Lesson planning
Timely syllabus completion
Assessment and evaluation
Classroom management and discipline
Ensure timely submission of academic documents including lesson plans, exam papers, and reports
Report academic delays, performance issues, or negligence to the Vice-Principal/Principal
Support teacher mentoring, guidance, and academic orientation as required

Student Academic Monitoring

Monitor student academic performance and attendance records
Identify students requiring academic support and coordinate remedial planning with teachers
Assist in maintaining academic records, progress reports, and result analysis
Coordinate academic parent–teacher meetings when required

Academic Documentation & Reporting

Maintain accurate and organized academic records, timetables, subject-wise documentation, and reports
Prepare academic summaries, progress reports, and internal reviews for management
Ensure academic data is accurate, updated, and readily available for inspections, audits, or reviews

Coordination with Administration & School Activities

Coordinate with the administration for academic scheduling, substitution planning, and logistical arrangements
Support co-curricular and extracurricular programs where academic coordination is required
Assist during academic inspections, audits, and official reviews conducted by external or internal authorities

Professional Conduct & Communication

Communicate professionally and effectively with students, parents, teachers, management, and stakeholders
Maintain discipline, confidentiality, ethical standards, and academic integrity
Serve as a role model of professionalism, punctuality, responsibility, and accountability
Attend meetings, trainings, workshops, and academic programs as required by the school

Administrative Responsibilities

Perform additional academic or administrative duties of a similar level as assigned by management
Be available beyond regular working hours during examinations, academic programs, inspections, or urgent academic requirements
Undertake teaching or substitution duties if assigned by the school

Master’s degree in Education or a related field
Minimum 3–5 years of teaching experience, preferably with prior academic coordination or leadership exposure
