Job Summary

Bhugarbha Cement Ltd. is seeking a detail-oriented and analytical Sales Accounts & MIS Office to manage sales order processing, sales billing, customer accounts, and management information system (MIS) reporting. The role involves coordinating with Sales, Finance, Dispatch, Logistics, and Production teams to ensure accurate documentation, timely order execution, effective credit monitoring, and reliable sales performance reporting.

Key Responsibilities

1. Sales Order Processing

Receive, verify, and process sales orders from the sales team, distributors, and dealers.
Verify product availability, approved pricing, credit limits, and outstanding balances before processing orders.
Review and approve sales orders in the ERP/accounting system as per the authorized approval hierarchy.
Coordinate with Dispatch and Logistics teams for dispatch planning and vehicle allocation.
Track orders from receipt to dispatch completion and communicate order status to relevant stakeholders.
Process order amendments, cancellations, and rate modifications with appropriate approvals.
Maintain accurate records of sales orders, challans, and delivery instructions.

2. Sales Billing & Accounting

Prepare and verify sales invoices, delivery notes, challans, and credit/debit notes.
Ensure accurate application of pricing, discounts, promotional schemes, and applicable taxes.
Record sales transactions in the ERP/accounting system accurately and on time.
Reconcile daily dispatch records with sales billing.
Maintain sales registers and prepare daily sales billing summaries.

3. Customer Accounts & Reconciliation

Maintain customer ledgers and ensure accurate posting of invoices, receipts, and adjustments.
Prepare customer outstanding and receivables ageing reports.
Reconcile customer accounts periodically and share account statements when required.
Coordinate with the Sales Team for payment collection follow-ups and credit limit monitoring.
Review and process post-dated cheques (PDCs) and maintain proper records.

4. MIS Reporting & Sales Analysis

Prepare daily, weekly, and monthly MIS reports covering:
Sales performance by region, dealer, salesperson, and product.
Dispatch, stock movement, and billing status.
Customer outstanding balances and ageing.
Sales trends and performance analysis.
Prepare sales target versus achievement reports and monitor performance against assigned targets.
Identify sales shortfalls, achievement trends, and reasons for deviations.
Prepare salesperson-wise, region-wise, and product-wise performance reports.
Present the Sales Target vs. Achievement Report during the weekly Sunday meeting, highlighting performance, target achievement, shortfalls, and key reasons for deviations.
Coordinate with the Sales & Credit teams to ensure accurate and updated reporting data.
Provide timely sales insights to support management decision-making.

5. Coordination & Compliance

Assist the Head – Sales & Recovery in sales planning, target monitoring, and performance analysis.
Coordinate with Sales, Finance, Dispatch, Production, and Logistics teams to ensure smooth sales operations.
Ensure compliance with documentation requirements, including tax invoices, approvals, and transportation documents.
Support internal and external audits by providing accurate records and supporting documents.
Ensure adherence to company policies, pricing structures, credit policies, and approval procedures.

Proficiency in MS Excel, ERP/accounting software, and data reporting tools.
Strong analytical, numerical, and problem-solving skills with high attention to detail.
Excellent coordination, communication, and organizational skills.
Ability to work under pressure, meet deadlines, and manage multiple tasks efficiently.
