Roles and responsibilities of this job

We are looking for a sharp, organized and confident Manager to take full ownership of HVAC rebates, permits and warranties for the US based service company. Every installation depends on this work being done correctly and on time: rebate money collected, permits approved and closed, and equipment warranties protected. Our night shift covers the full Texas business day, so you will work in real time with the US office, field teams, manufacturers, distributors and city offices by email, phone and online portals.

Key Responsibilities

Rebates

Prepare and submit rebate applications for eligible installations, including manufacturer, utility company and other incentive programs
Collect the required documents, such as invoices, equipment model and serial numbers, efficiency certificates and customer details
Track every claim until payment, follow up on delayed or rejected claims, and recover money that would otherwise be lost
Stay current on program rules, eligibility changes and deadlines

Permits

Apply for HVAC/mechanical permits with city and county offices through their online portals
Schedule inspections and coordinate with field teams so inspections pass the first time
Track permit status, handle corrections and make sure every permit is closed out

Warranties

Register new equipment with manufacturers within their required timeframes
Process warranty claims for parts and labor, and coordinate parts returns and credits with distributors
Keep accurate warranty records and answer internal questions about coverage

Management & Reporting

Build and maintain trackers, checklists and standard procedures for all three areas
Report regularly to US leadership on open items, money recovered and risks
Find bottlenecks and fix them, not just report them
Train and guide coordinators as the team grows

Job Specification

Required qualifications for this job

Required Education Level:Under Graduate (Bachelor)

Required Experience:More than 3 years

Required Age:More than 21 years

Other Specification

Bachelor’s degree in any field (Business or Management preferred)
3+ years of experience in claims, compliance or documentation-heavy work, such as US medical billing/insurance claims, US accounting or tax preparation, insurance claim settlement, warranty/after-sales service, tax or VAT filing, subsidy or rebate processing, or government permits and approvals
Excellent written and spoken English. You will speak directly with US companies and government offices.
Strong attention to detail, with the ability to manage hundreds of open items and deadlines at once
Confident with Excel/Google Sheets, online portals and business software
Takes initiative, follows up without being reminded, and solves problems independently
Able to work on-site from 7 PM to 5 AM, Monday to Friday

Nice to Have

Experience working with US clients or companies
Experience in US HVAC, construction, home services or insurance claims
Experience with AC/HVAC, solar or appliance companies in Nepal
Familiarity with field service software such as ServiceTitan or Housecall Pro
Knowledge of US permitting or utility rebate programs
