Roles and responsibilities of this job

We are seeking proactive Documentation Officer to join our team. This role ensures all student files, academic documents, visa-related paperwork, and institutional records are accurately maintained and processed on time. The ideal candidate will have strong organizational skills, attention to detail, and the ability to handle confidential information professionally.

Key Responsibilities:

Placing applications to different institutions
Assist with study abroad on the best application service, GS & GTE documentation, and make a real-time status of students
Assist colleagues of study abroad with documentation training, visa lodgement, provide necessary training, create Zoom templates, SOP for visa training, andproducts
Assist in developing a database of students, templates for emails/checklists of students, flowchart on the admission process
Update team on university fees, courses, etc, streamlining the students' recruitment process, use of online portal, applications sent
Guiding team on financial planning, funds, and checklists after offer letters, creating HAP ID, completing forms like 956A, and finalizing SOP with DIBP guidelines
Communicate via mail with representative agents in regards to the application of students
To suggest students make NOC and do medical on time
Work closely with counselors to discuss on potential cases and make right course, colleges/university suggestions to centers and subagents
To send GTE documents to colleges/universities
Online visa lodgment of student visa subclass 500/ IMMI portal handling and visa lodgment
Record student information in Google spreadsheet and Excel for the reference of the company
Organize a report on real-time status of students of different Centers and subagents applying to education providers
Prepare students for GTE interview in case of Australia
Prepare students for Skype interview/phone interview to college/university or DIBP interview
Tracking progress report
Other duties as assigned by the HOD/ Supervisor

Job Specification

Required qualifications for this job

Required Education Level:Under Graduate (Bachelor)

Required Experience:More than 1 year

Other Specification

Bachelor’s degree in Business Administration, Management, Humanities, or a related field
Minimum 1 year of proven experience in documentation or a similar role.
Experience working with official documents.
Strong command of documentation procedures.
Proficiency in MS Office (Word, Excel, PowerPoint) and digital documentation tools.
High attention to detail and strong proofreading ability.
Ability to work independently and manage multiple tasks simultaneously.
Ability to maintain confidentiality at all times.
