Sector: Medical Physics Consulting
Reports to: Principal Physicist / Practice Supervisor
Location: Fully remote reporting to employer from US

Role Overview

We are looking for a highly organized, tech-savvy professional to manage our daily operations and client communications. This role is a hybrid of administrative mastery and front-end customer service. You will be the bridge between our technical team and our healthcare clients, ensuring schedules are tight, reports are delivered on time, and every customer feels supported.

Key Responsibilities

Scheduling and Billing

Coordinate and schedule physicist site visits with hospitals and imaging centers.
Manage complex calendars, accounting for travel time and equipment availability.
Proactively reach out to clients to schedule recurring annual or semi-annual inspections before they expire.
Generate and send invoices to clients.
Assist with basic bookkeeping tasks and expense tracking

Reporting & Documentation

Finalize and transmit technical physics reports to clients via secure portals or email.
Maintain organized digital archives of all facility surveys and compliance documentation.
Monitor report turnaround times to ensure we meet our service-level agreements (SLAs).

Customer Service & Internal Sales

Act as the primary point of contact for incoming queries via phone and email.
Handle basic "warm" sales inquiries (e.g., providing quotes for standard inspections to existing or inquiring clients).
Assist in light marketing efforts, such as sending out "Compliance Alert" newsletters or updating the client contact database.

Experience & Skills

Administrative Excellence: 3+ years in an office management or administrative role (experience in a medical, legal, or engineering firm is a major plus).
Billing Proficiency: Experience with invoicing software
Tech-Savvy: High proficiency in Google Workspace/Microsoft 365 and CRM tools.
Regulatory Awareness: Ability to learn the names of various medical imaging modalities (CT, MRI, Mammography) and the governing bodies (ACR, Joint Commission, State Health Dept) to communicate intelligently with clients.
Communication Skills: Fluency in English (both written and spoken) is mandatory

Professional Tone: Exceptional written and verbal communication skills—you can handle a busy Radiology Director with poise.
Extreme Attention to Detail: Sending the wrong report to the wrong hospital is a major HIPAA and privacy risk; you must be meticulous.

Working Hours

6 hours per day
Shift: 8:00 PM - 2:00 AM (Nepal Time)
7:15 AM - 1:15 PM (California Time)

Compensation

Salary: NPR 45,000 per month
Performance-based bonus up to 20,000 per month
