Department: General Management / Administration / Operations

The Administration, Logistics, Procurement & Operations Officer for Construction Company is responsible for coordinating administrative, procurement, logistics, and operational activities to support the company's projects and daily operations. The role ensures efficient procurement, timely delivery of materials, effective office administration, proper documentation, and smooth operational processes while maintaining compliance with company policies and supporting project success.

Key Responsibilities:

1. Office Support

Handle day-to-day office errands and administrative support activities.
Deliver and collect official documents, letters, bills, cheques, contracts, and other office-related documents.
Assist in photocopying, printing, scanning, filing, and document management.
Visit banks, government offices, clients, consultants, suppliers, and other organizations as required.
Assist in the submission and collection of tender, contract, and other project-related documents.
Support management and staff in completing day-to-day administrative and project-related assignments.

2. Material Coordination at Construction Project Sites

Coordinate with construction project sites regarding daily material requirements.
Collect quotations from suppliers, compare rates, negotiate prices and commercial terms, and coordinate procurement as per company requirements.
Coordinate with suppliers to ensure timely procurement and uninterrupted supply of construction materials.
Communicate material requirements between construction project site teams, the Head Office, suppliers, subcontractors, transporters, and consultants.
Follow up on purchase orders and ensure timely delivery of materials to construction project sites.
Coordinate with suppliers, transporters, and drivers regarding loading, transportation, and unloading of materials.
Maintain records of materials dispatched and received at construction project sites.
Follow up on day-to-day construction project site requirements and report any delays or issues affecting project progress.
Inform the concerned office and construction project site personnel regarding any delay, shortage, or issue related to material delivery.

3. Vehicle Management

Coordinate and manage company vehicles for office and construction project activities.
Prepare daily vehicle schedules based on office and construction project site requirements.
Coordinate with drivers for material transportation, staff movement, and official assignments.
Monitor vehicle availability, movement, fuel consumption, and utilization.
Maintain records of vehicle trips, servicing, repairs, insurance, and maintenance schedules.
Ensure company vehicles are properly maintained and used only for authorized company purposes.

4. Other Responsibilities

Maintain confidentiality of company information and documents.
Prepare and maintain necessary records and reports as assigned.
Perform any other duties assigned by the Management or authorized supervisor.

Job Specification

Required qualifications for this job

Required Education Level:Higher Secondary (+2/A Levels/IB)

Required Experience:More than 5 years

Other Specification

Intermediate (+2) or Bachelor’s Degree in any discipline.
Minimum 5 years of experience in construction project coordination, site administration, procurement, logistics, or a related field.
Experience in supplier coordination, quotation collection, price negotiation, and material procurement.
Good understanding of construction project site operations and logistics.
Proficiency in Microsoft Office (Word, Excel, Outlook).
Excellent communication skills in both English and Nepali.
Strong organizational, coordination, negotiation, and problem-solving abilities.
Ability to work under pressure and meet project deadlines.
Valid motorcycle or four-wheeler driving license will be an added advantage.
