Job Description

The Head of Administration is responsible for overseeing the administrative functions of the organisation where he/she is responsible for managing administrative operations, maintaining organisational policies and  initiating and implementing best  practices in administrative  functions.   He/ she should possess strong administrative skills, with a focus on attention to detail, strategic planning, and effective communication.

Key Responsibilities 

  • Responsible for planning, organising, and coordinating all administrative activities, including budget planning, human resources management, and office operations.
  • Ensure smooth running of the office, manage and monitor office facilities and check if support services are operating in an effective and efficient manner and make sure overall safety, timely supplies and service of equipment.
  •  Ensure that all office facilities & equipment are functional all the time and be in charge of arranging any repairs, replacements & maintenance.
  • Work with the senior management and technical teams to develop administrative plans for new projects .
  • Monitor and evaluate the performance of administrative processes to identify areas for improvement.
  • Responsible for budget planning and cost control measures for the administrative department.
  • Responsible for ensuring that the organisation complies with relevant laws and regulations related to administrative functions.
  • Develop and implement strategies to reduce costs, increase efficiency, and improve service quality to ensure  consistency, and compliance.
  • Manage inventory levels to ensure that supplies are available when needed while minimising excess stock.
  • Prepare reports and presentations for senior management on administrative activities.

Requirements

  • Bachelor/ Masters Degree in Management with minimum 5 years of experience in administration  
  • Work exposure in multinational companies will be an added advantage.
  • Ability to function well in a fast-paced work environment by managing priorities with short deadlines
  • Strong interpersonal and influencing skills  to work effectively in a team environment.
  • Strong organisational skills with a problem-solving and decision making attitude
  • Excellent written and verbal communication skills 
  • Experience with office management software like MS Office.
