Job Description

About the role

As an Executive Secretary, you will lead and guide the activities of the entire organization.

Roles and Responsibilities:

  • Act as a liaison between top management and all other employees.
  • Monitor and evaluate the regular on-going activities, take review of the staff works performance from the department head and report to Managing Director.
  • Ensure smooth and adequate flow of information within the company to facilitate day to day operations
  • Planning, developing, reviewing, and improving administrative systems, policies, and procedures
  • Ensure operations adhere to policies and regulations
  • Organizing and supervising overall office activities and taking corrective action when necessary
  • Assess department performances and report to Managing Director.
  • Monitor costs and expenses to assist in budget preparation
  • Verify the attendance, leave, overtime of all the employees and make statement for salary.
  • Recruiting, training, allocating responsibilities and providing guidance to ensure maximum efficiency.
  • Orientation about company's policy and practices to the newly recruited employees.
  • Keeping the personal details of all the employees.
  • To ensure safety, security and housekeeping of whole company.
  • Monitor and manage all the official correspondence.
  • Arranging meeting of MD with clients.
  • Dealing with the important client as per guidance from MD.
  •  Overseeing special projects and tracking progress
  • Coordination with overseas parties, agent and provide necessary information timely as needed.
  • Manage schedules and deadlines

Qualifications Required

  • Master's degree with 2 years of experience in similar field.
  • Excellent knowledge of MS-Excel, Power point presentation and MS-Word.
  • Smart with good interpersonal skills.
  • Should be able to work under pressure.
  • Time management qualities.
  • Excellent Verbal and written communication skill.
  • Problem-solving qualities.
