Job Description

Job Title: Administrative Officer
Designation: Administrative Officer
Reports to: HR Manager
Location: Chandole, Kathmandu, Nepal
Shift: Standard (09:00 AM to 05:00 PM) from Sunday to Friday

Position Overview:  

The Administrative Officer is responsible for ensuring the smooth and efficient operation of the office or organization. This role involves providing administrative support, managing office resources, and facilitating communication between different departments. S/he should maintain good time-management skills, and the ability to multi-task in a fast-paced environment.

Roles and Responsibilities

  • Ensuring office supplies are maintained, including checking inventory and working with vendors to ensure adequate levels of necessary supplies at all times
  • Initiate and implement best and effective practices in administrative function
  • Resolves administrative problems by analyzing information and identifying and communicating solutions
  • Lead , direct and mentor administrative staff to achieve maximum output
  • Managing office suppliers and ordering new suppliers as needed
  • Ensure functionality of necessary office equipment, and request new equipment and supplies as needed
  • Keep updating the required materials used for production
  • Regularly update the vendors for purchasing machinery items for production
  • Maintains administrative workflow by studying processes, implementing cost reductions, and developing reporting procedures
  • Coordinate general operations, serve as a point of contact for employees and customers alike, and ensure everything is on schedule to meet or exceed deadlines
  • Maintain rapport with customers, managers, and employees by researching and developing new services and methods, setting priorities, and problem solving for workflow issues

Relationship Management

  • Building and maintaining long-term relationships with vendors and suppliers
  • Negotiating with suppliers and vendors to secure long-term goals and objectives
  • Evaluate vendors to ensure their performance is in place with established specifications
  • Collaborate with managers in preparing budgets and monitoring expenses
  • Coordinate with different branches for smooth administrative task
  • Other tasks assigned by the line manager

Reporting

  • Preparing regular financial  and administrative reports
  • Reporting on a regular basis to the Manager
  • Evaluate progress and prepare detailed reports

Skills and Qualifications

Task Related

  • Bachelor's degree in business administration, or a related field required
  • 2 or more years of experience 
  • Competencies and Soft Skills
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Proficiency in using office software and technology.
  • Attention to detail and accuracy.
  • Ability to work independently and as part of a team.
  • Familiarity with office equipment and procedures.
  • Ability to handle sensitive information professionally and with confidentiality
  • Ability to work under pressure and meet deadlines within available timeframes
  • Demonstrated ability to thrive in a fast-paced and results-oriented environment
