Sponsorship Communication Administrator-1 Position

Purpose:

The position holder is responsible for timely communication between sponsored children and sponsors. S/he is responsible for quality assurance of all sponsorship communication documents in terms of adherence to Safeguarding Children and Young People Policy in all incoming and outgoing sponsorship communication documents. S/he also plays a vital role in meeting KPIs by providing necessary information to partner organization on time. S/he ensures proper management of both hard-copy and soft copy sponsorship documents, including photographs, accordance with sponsorship compliances.

Term and Location: Fixed term employment for 1 year based in Karnali Field Office, Jumla

Required Qualifications & Experiences:

  • Bachelor’s Degree in Social Science, Education or relevant field. 
  • At least 2 years of relevant work experience in similar role.
  • Proven experience in coordination, operation of sponsorship functions, management of critical data, child protection aspect of child sponsorship and facilitation/coaching
  • I/NGO work experience preferred
  • Knowledge of child and women’s rights and gender equality
  • Ability to write clearly and concisely in English and Nepali along with translation skills
  • Excellent verbal communication skills
  • Proven IT skills: Word, Excel, Outlook, PowerPoint etc
  • Ability to prioritize and multitask work when dealing with competing deadlines

Key Responsibilities:

  • Coordinate the translation and processing of communication documents in time with quality by tracking in the ChildData system
  • Ensure quality, data authenticity, and dialogue worthiness of communication documents before forwarding to Encoders for encoding, translation and uploading in ChildData
  • Support community and program colleagues to organize trainings/coaching to concerns regarding Sponsorship Communication
  • Assist and support supervisor for monthly, quarterly report
  • Send schedule due, (To-Do-List (TDL) 3 months in advance by first week of each month to contact person in partner NGO. Send master list and communication due report as and when needed
  • Carry out home visit to ensure quality product and validate satisfaction level (commitment # 2) as per the activities planned
  • Refresh any updates on ChildData operation system within the team/partner
  • Receive sponsor letters/gifts sent from Country Office and handle with full safety and continue further processes until the full cycle is completed
  • Review and ensure the quality of the letters as per the sponsorship commitment
