IT related:

  • Master’s degree in Computer Science (Hardware and Software Engineering), Information Technology or a relevant field;
  • 3 years experience on management of IT hardware, local area network, IT system/applications 
  • A sound technology background but also a creative mindset towards the use and implementation of technology and tools for a variety of problems and a pro-active, service-oriented attitude 
  • Knowledge on Database management
  • Experience with Web Application Development
  • Fluent in written and spoken English

Accounts and General Administration related:

  • Knowledge of basic accounts and management of petty cash
  • Experience in store and inventory management
  • Knowledge of and experience in managing staff and asset related insurance

Job Description

Tasks and Competences:

1.  IT Administrator

  • System Operation
  • Administration of the resource mailboxes using the BMC Remedy tool: creating, processing, and distribution of resource mailboxes; ensuring the proper authorization of the users to the respective mailboxes
  • Integration of hardware supplied by Headquarters into the system: Installing the network printers; installing of  laptops; Installation of non-packaged standard software and applications authorized by Headquarters upon instructions of the Country Director
  • Management and Administration of stand-alone server and related application. Ensure the functioning of the stand-alone server and coordinate with the external partners to resolve the technical issues related to network, internet and firewall security
  • Updating the inventory of computer hardware and software. Ensure the inventory list in inventory software matches with IT EDA inventory list, else inform IT EDA for the update
  • Initiate a periodic reminder to respect the IT policy and reduce files under H drive
  • Monitor and maintain computer systems and networks
  • Provide technical support to the staff members through various channels of communication
  • Transmit information and instructions from the Help Desk 
  • Makes requests for IT materials, new software, and/or hardware requirements
  • Report to and seeks support from the Help Desk 
  • Responsible for all IT security matters adherence to instructions on the use of Telematics and regulations on internet use
  • Responsible for the smooth operation UCC telephony system
  • Responsible for the smooth functioning of  IT equipment and monitoring the Internet services at the Ambassador's Residence
  • Setup of mobile devices and satellite phones and respond to general support queries

2.  Accounts and Cash Management 

  • Manage and control cash transactions. Ensure the adequacy of cash to carry out cash transaction and monitor the cash amount to be within the prescribed cash limit as per the ICS
  • Prepare the monthly salary of local staffs and deduct TDS from staff remuneration
  • Compile the TDS deducted from remuneration as well as other transactions on a monthly basis. Upload the TDS data to IRD website, deposit and verify the TDS within the timeline given by the Government of Nepal. Provide the Tax clearance certificate received from IRD to the Embassy staff.
  • Compile the VAT bills periodically, upload the data to the IRD website, submit the accepted bills to the IRD office and follow up with the IRD for the refund of the VAT amount to the Embassy.
  • Follow up with the vendors and imply various methods to ensure that their VAT status is clear at IRD and the Embassy gets refund within the stipulated time. 
  • Provide assistance to Finance Manager when required

 3.  Inventory and Store management

  • Coordinates with Transport and Premises Manager to manage and update the inventory of the Embassy premises and Ambassador's Residence in James software
  • Manage the IT inventory and check with the IT inventory list of HQ. In case of any differences, coordinate with the Order Management Team at HQ
  • Support official auction and conduct internal auction
