Job Summary:

We are looking for a motivated and detail-oriented Operations Fellow to join our team at CITYLAB. The successful candidate will primarily support Zero Circular Pvt. Ltd. The fellow will assist the Operations Lead in managing various operational functions, including procurement, inventory tracking, timesheet compilation, petty cash handling, banking, and office administration services. This is an excellent opportunity for individuals looking to gain hands-on experience in operations and administrative support.

Key Responsibilities:

Banking and Financial Support: 

  • Collect and deposit checks to the bank, ensuring accurate processing.
  • ⁠Manage petty cash, including recording transactions and reconciling accounts.

Expense Tracking and Documentation:

  • ⁠Collect, review, and compile timesheets, invoices, and travel expense reports.
  • Monitor and record expenses in corporate office and factory, ensuring financial data is up-to-date and well-organized.
  • Maintain and organize official documentation, including contracts, invoices, and records.

Contract Management:

  • ⁠Assist operations lead in drafting, reviewing, and finalizing contracts with clients, suppliers, and service providers.
  • Maintaining an organized record of all contractual agreements.

Payment Oversight:

  • ⁠Track payment schedules and ensure timely invoicing.
  • Follow up with clients and suppliers to ensure payments are processed as per agreed terms.
  • Resolve payment discrepancies and disputes in coordination with the finance team.

Required Competencies:

  • ⁠Attention to Detail: Strong organizational skills with a focus on accuracy and thoroughness.
  • Communication Skills: Excellent written and verbal communication skills in English and Nepali.
  • Proficiency in Tools: Familiarity with MS Office Suite (Word, Excel, PowerPoint) and basic accounting software.
  • Problem-Solving: Proactive in identifying issues and proposing effective solutions.
  • ⁠Team Player: CoA collaborativeindset with a willingness to support team members.

Qualifications:

  • ⁠Currently pursuing or recently completed a degree in Business Administration, Management, Finance, or a related field.
  • Prior experience in operations, administration, or finance (internships or part-time work) is a plus.
  • ⁠Interest in learning and contributing to operational excellence.
