LOCATION:  National Tuberculosis Center, Thimi, Bhaktapur

POST TYPE: Contract

CHILD SAFEGUARDING: Level 3 - the responsibilities of the post may require the post holder to have regular contact with or access to children or young people

ROLE PURPOSE:

Save the Children is the leading independent organization for children.  We save children’s lives; we fight for their rights; we help them fulfill their potential. We work together, with our partners from civil societies and government, to inspire breakthroughs in the way the world treats children and to achieve immediate and lasting change in their lives. We reached approximately two million populations and invested over 29 million US  dollars in 2012 to reach more children than ever before, through programmes in Health, Nutrition, Education, Protection and Child Rights and Governance, Livelihood, HIV and AIDS,  and Humanitarian crises.

The Office (Admin.) Assistant will support and assist the PMU team at NTC for day-day administration and logistical management and arrangement.

KEY AREAS OF ACCOUNTABILITY:

  • Support to organize meetings and prepare reports.
  • Keep proper documentation of the reports/ records.
  • Support concerned authorities with the updated information and data.
  • Facilitate interpersonal and inter- organizational communication.
  • Within one month of appointment, set up secure electronic and hard copy filing systems for the PMU
  • Maintain PMU files securely and ensure all files retained for 5 years
  • Maintain Project Manager’s appointment diary
  • Book meeting rooms, and ensure refreshments at meetings at Project Manager’s request
  • Type memos and letters at request of Project Manager
  • Answer Project Manager’s telephone and make calls at PMU Coordinator’s request
  • Print and photocopy documents at Project Manager request
  • Find information on the internet at Project Manager request
  • Protect against conflicts of interest by following the procedures articulated in the PMU guidelines, within the scope of his/her responsibilities.
  • Other duties as requested by Project Manager.

Qualifications, Skills and Experience:

Education

  • Intermediate in any discipline, preferably in Management with at least 2 years (1 year for GSI group) of experience in secretarial service in government or renowned international agencies

Skills

  • Excellent skill of computer (including MS Word, Excel, Power Point, email & internet)
  • Basic secretarial training
  • Good interpersonal and negotiation skills
  • Excellent knowledge of spoken and written English and Nepali
  • Able to prepare reports in English and Nepali
