Job Description

Reporting to: Human Resources Manager    

Probationary Period: 4 months

Purpose:
Front Desk Assistant is responsible for providing support in front desk reception and general administrative support to staff members.   This position closely works with HR and Admin team.  The Front Desk Assistant is expected to ensure good collaboration and coordination with SPN and MSI Nepal, while ensuring the integrity and effectiveness of MSI's distinct contribution to the attainment of the SPN and MSS objectives. To achieve this, SPN requires an innovative, results-oriented individual who can create and deliver a vision, and wants the challenge of developing and managing Team member expectations. 
S/he should be flexible in travelling within Nepal.

Key Responsibilities 
1. Support in Front Desk:

  • Oversee reception area and welcome all the visitors
  • Receive all incoming call, take messages and pass them to concerned staff members
  • Receive and record all incoming mail, courier, invoice and forward them to concerned staff or department
  • Manage and file daily newspapers

2. Support in Administration:

  • Prepare and update daily sign in/out sheet and update name in the id card holding box
  • Update and circulate staff contact list to all SPN/MSS staff members on regular basis
  • Inform and dispatch cheque to suppliers / vendors
  • Update notice board as advised by staff team member
  • Oversee and maintain cleanness inside and outside office building 

3. Support in Logistic:

  • Distribute bid/RFQ/ToR to interested suppliers/vendors/agencies
  • Coordinate with courier service provider for dispatching documents to center, district Office and other locations
  • Assist Office Coordinator in booking air ticket, vehicle
  • Assist Office Coordinator for hotel reservation, venue confirmation
  • Provide logistic support in workshop, training program
  • Provide secretarial support such as typing, filing, translating, preparing invitation, scanning documents

4. Other Admin Duties:

  • Assist and provide support in administrative tasks as advised by team members - Team member feedback

Person Specification:

Qualifications/Knowledge/Expertise:

  • Intermediate (+2) in management and other faculty. Bachelors preferable
  • Knowledge of telephone handling and secretarial support

Experience:

  • More than 2 years of total work experience
  • At least 1 year +of relevant experience  

Skills and Abilities:

  • Good communication skill
  • Remarkable written skill in English and Nepali 
  • Well versed in Nepali typing
  • Knowledge of documentation, filing
  • Experienced customer careand service
  • Ability to self manage and prioritise workload to meet deadlines without compromising on high standards 
  • IT literate 
  • Able to manage and motivate teams to achieve targets and to achieve organisational change
  • Proven ability to ‘sell’ ideas, concepts
