YSC is registered under the Society Registration Act 1977 in the District Administration Office, Solukhumbu and affiliated with Social Welfare Council, Nepal. Job Description

Finance and Admin Officer (FAO) at Young Star Club for Helen Keller International (HKI), CARE, FHI 360, Nepali Technical Assistance Group (NTAG), Equal Access Nepal (EAN), Environment and Public Health Organization (ENPHO), Vijaya Resource development Centre (VDRC) is implementing Suaahara II Program (SP II) in 40 districts. The position will work in implementing partners for the activities for Nutrition, Health and DRR/CCA, EHFP, WASH, Marketing, and MSNP.

This position will provide financial, administrative and HR support for the activities of Suaahara II program at Young Star Club.

This position is responsible for financial management at district level. Responsible for day to day financial management in the field. Provide assistance for day to day field operations. Provide support to Field Coordinator and District Office Team members to run the smooth operations of financial and administrative process of Suaahara II Program

Responsibilities:

  • Responsible for accounting of all incoming and outgoing financial transactions at the YSC/Suaahara II
  • Forecast (liquidation plan) and request cash transfers from Kathmandu to ensure adequate supply of funds in the PNGO.
  • Participate in establishing procedures and forms for request and the issue of funds for program needs
  • Be sure you are familiar with and are updated on Local/National Laws and regulations of the Government of Nepal
  • It is the responsibility to make sure that all financial documents are kept safe and secure (NGO)
  • The FAO and FC will be responsible for handling, managing and responding to ALL audit issues that arise in the NGO
  • Maintain a petty cash account for small, daily transactions or manage a petty cash account through a petty cash holder as approved.  Strictly follow the issuance of project travel and advances as well as recuperation of advances and miscellaneous dues settlement within the prescribed time period according to policy
  • Produce Monthly Financial Reports according to established procedures and submit a soft copy and hard copy within given dates of the every month
  • Maintain an external backup of the financial data on a regular basis, at least weekly
  • Responsible for procurement, store, and logistic support
  • Ensure compliance of local laws and donor requirements
  • Timely collection and payment of bills/invoices and settlement of advance, liabilities and receivables. Unless there are lacking of supporting documents or ambiguities in policy, the payment shall be process within 3 working days
  • Establish and maintain the filing system in district office
  • Be aware with organizations policies
  • Carry out Administrative process (leave, time sheet, safety & security) to meet the objective of program activities in district office
