Job Description

Reports To: Country Director
Duration: Fixed term (From 1 May 2017 to 31 October2017, with the possibility of extension subject to funding)

Job Purpose: The position is based in Kathmandu and may involve travel within Nepal. The purpose of this position is twofold. The Executive/ Project Assistant is expected to provide day to day administrative and  program support to the Country Director. S/he will be responsible to maintain HR files as well as support freelancers’ contracts. In addition to the above, s/he is expected to provide project management support to project management team.

Main Duties:

  • Manages the diary of the Country Director, ensuring the effective management of internal and external meeting times. Keeping Country Director informed and updated about changes
  • Preparation of paperwork for meetings as required
  • Briefing to Country Director ahead of meetings, including background of meeting participants
  • Support the Country Director with background research and development of papers and proposal development
  • Coordinate, and minute Executive Committee, Leadership Team and business development meetings
  • Maintain proper relationship and contacts with all government officials, donor agencies and other external stakeholders
  • Manage HR Files and support consultant contract management
  • Ensure all personnel files are up to date
  • Keep leave records of all staff
  • Provide translation support when and if needed
  • Plan, organize and follow-up on all events for the CD
  • Maintain database and log for the CD's professional contacts
  • Coordinate all logistical and administrative issues of the CD
  • Receive, sort and distribute incoming mail to Country Director and respond where requested
  • Provide support to the Project Management team especially in compiling monthly activity reports across all projects including CD reports, setting up meetings and maintaining minutes of meetings with donors, partner organisations and other stakeholders.

Essential Skills and Experiences:

  • Minimum bachelor’s degree in any discipline from a recognized university
  • Excellent written and spoken skill in English and Nepali is essential for this position
  • Must have sound knowledge on computer (MS Word, Excel and Power Point) with very good typing speed
  • Ability to work under pressure to provide full operational support to the Country Director
  • Very good interpersonal and liaison skills with positive and professional attitude
  • Ability to deal maturely and tactfully with confidential material
  • Ability to multi-task and manage time effectively
