TEAM/PROGRAMME: Program Operations

LOCATION: Surkhet, Mid and Far Western Field Office

CONTRACT LENGTH: Fixed-term until December 2019 with possible extension

CHILD SAFEGUARDING: Level 3: the post holder will have contact with children and/or young people either frequently (e.g. once a week or more) or intensively (e.g. four days in one month or more or overnight) because they work country programs; or are visiting country programs; or because they are responsible for implementing the police checking/vetting process staff.

The Documentation and Reporting Officer will assist the partner and palika team for documentation of best practices. Case stories, success stories and reporting of the project intervention by best utilizing the available resources to attain project goal adhering to Save the Children’s global strategy. One of the major roles of the position holder is to update semi-annual status of child representatives and report to media com department in Kathmandu. Under the overall guidance of Project Manager- Sahayatra II, s/he will responsible to provide support for field level (field and District level) communication, documentation and reporting related matters, process with analysis of learning kept in place for further sharing. The position will provide information, reporting and media related support to the Sahayatra project in coordination with the media and communication department in field office and Kathmandu. Based in the field office, the position’s role is to undertake field visits, gather and put together information of programs for internal and external purposes and program documentation. S/he also needs to ensure and analyze the rapid assessment information/ such as HMIS, CEMIS data (OPMIS for reporting purpose) to find out the gap of service status of in the project implemented at districts At times, s/he is support to develop capacity of partner’s staff in close coordination with technical team at district/field office and project manager to implement this project through various approaches. 

S/he will support Save the Children’s mandate of full spectrum as well as being the leader in emergency preparedness and response for children. In the event of a major humanitarian emergency, s/he will be expected to work outside the normal role profile and be able to vary working hours accordingly.


KEY AREAS OF ACCOUNTABILITY: 

Media and Communication: 

  • Ensure, collect, categorize, and coordinate with the project team for all documentation and reporting related requests (case studies, stories, or any of donor/organization requirements) and respond to them in consultation with the CO and FO.
  • Undertake field visit to the relevant program areas covered by the regional offices to document Save the Children’s program and impacts
  • Be the project focal point to coordinate brand compliance in coordination with the country office. 
  • Contribute to Save the Children’s internal communication mechanisms (OneNet, Newsletter, and social media sites) 
  • Support the project to ensure efficient and accurate information flow between field office and CO.
  • Representing the organization amongst partners related to media and communication work of the organization 
  • Undertake assignments outside of the regional office’s area as request by program manager
  • Collect the case stories and submit to donor periodically. 

Monitoring, Documentation and reporting:

  • Collect, compile and analyze program information/ data and provide feedback to project staff at the district level as and when required to obtain usable data for compiling and analysis.
  • Support to project manager for quality reporting to donor and concern stakeholders 
  • Coordinate with the partner project staffs, MEAL staff, district-based government line agencies, for implementation media-communication, documentation and reporting related information and statistics. 
  • Capacity building of district team (including partners) in case collection, documentation, and information dissemination/reporting, and supportive supervision as necessary.
  • Assist in preparation of community level assessment, communication, case collection tools, analysis tools for reporting and presentation. 
  • Ensure the effective implementation of OPMIS and total reach system and timely submit the report 
  • Assist, support, and provide inputs on studies/assessments/drafted reports and documents to be submitted to CO or donors. 
  • Contribute in documentation and preparation of best practices 
  • Spend at least 40% time at field with proper couching and technical support to partner and district staffs, beneficiaries and concern authorities.

Capacity Development of Partner

  • Motivate partner staffs and make sure that they have clear understanding on reporting, documentation, case stories and donor compliance of the project in line with SCI and donor requirements. 
  • Support line manager and project team to build the capacity of partner staff 
  • Prepare communication plan and executive accordingly. 
  • Capacity building of partners on OPMIS, total reach and correct the report as and when required.

Additional/Occasional Duties

  • Work in a team spirit in a coordinated way if other SC interventions also exist in the district and officials assigned. 
  • Represent SC within district, province, national and international forum as per need.
  • Carry out dual responsibility in case of big emergency as per organizational requirement.
  • Support field office on the tasks/ responsibility given by Supervisor in ad-hoc/need basis as and when required.

QUALIFICATIONS AND EXPERIENCE

Essential

  • Bachelor’s degree in Media and Communication/Sociology/Management or related discipline(s) 
  • 3 years of relevant work experience 
  • Knowledge of report writing, documenting best practices, success stories and case studies.
  • Good command over English language 
  • Good Coordination, Communication and Interpersonal skill
