USAID’s Strengthening Systems for Better Health (SSBH) Activity is a 6-year project aimed at improving health outcomes in Nepal, particularly for the most marginalized and disadvantaged groups in the country. SSBH supports the Government of Nepal’s efforts to expand access to and use of quality maternal, newborn and child health and family planning services, with a specific focus on newborn care and is designed to achieve three major outcomes:

(i) improving access to and utilization of equitable healthcare services,
(ii) improving the quality of 
health services at facility and community levels and
(iii) improving health systems governance, within the context 
of federalism.

The project is implemented in close collaboration with the Ministry of Health and Population at federal level and with provincial and municipal governments, health facilities and other key health sector stakeholders at sub-national levels.

Supervisor: Finance and Administration Director

Under the supervision of the Finance and Administration (F&A) Director, the Administrative Assistant provides administrative support and reception services for the project.

Specific duties and responsibilities include the following:

  • Lead arrangement and organization of offices.
  • Keep records of relevant publications of the project, the client, and other partners.
  • Assist in recruitment of new staff, and the preparation of complete employment files.
  • Maintain an up to date staff roster with telephone numbers and emails.
  • Orient new employees on corporate policies and benefits.
  • Enroll new local staff in the health insurance plan.
  • Maintain an up-to-date record of employee vacation and sick leave use and balances.
  • Maintain project files, including personnel files, files of project deliverables, and project reports.
  • Manage and document correspondences with the client and other partners.
  • Manage telephone operations and communications.
  • Receive and advise guests.
  • Handle petty-cash.
  • Purchase, store and distribute office supplies.
  • Ensure timely settlement of office bills

Qualification requirements include the following:

  • Bachelors Degree in Administration, Management, Business, Social Science, or other relevant fields.
  • At least 2 years of relevant professional experience in office administration.
  • Excellent knowledge and experience with Windows, Word and Excel and PowerPoint
  • Ability to independently plan and execute complex tasks while addressing daily management details and remaining organized and focused on long-term deadlines and strategy highly desirable.
  • Ability to assess problems and develop solutions.
  • Excellent interpersonal communication skills and excellent organization skills.
  • Experience that relates to USAID-funded projects or other international development experience is preferred.
