Purpose of position:

The ideal candidate is an adaptable, professional individual who is comfortable taking initiative and working in a fast-paced environment with multiple teams and projects. This person should be organized, focused, and attentive to detail, with the ability to manage timelines effectively while communicating proactively and regularly with team members and external entities as necessary. This position requires excellent interpersonal, organizational, computer, and writing skills, as well as the exercise of extensive discretion and independent judgment. The candidate must also be open to and appreciate constructive feedback as a mechanism for professional development and personal growth.

Responsibilities:

  • Manage office supplies stock and process for purchase orders
  • Maintain and update Samata's completed project files and documents
  • Organize a filing system for important and confidential company documents
  • Update office policies as needed
  • Book meeting rooms as required
  • Prepare reports and presentations with statistical data, as assigned
  • Arrange travel and accommodations for official guest
  • Monitoring and maintaining office equipment and inventory supplies; orders replacement supplies as needed
  • Scheduling company calendar/holiday lists and updating as needed
  • Maintain the attendance records and leave records
  • Preparing reports on expenses, office budgets, and other expenditures
  • Preparing travel arrangements for office staffs; overseeing and preparing expense reports and budgets
  • Coordinating building and maintenance issues for general repair ( plumbing, electrical and security etc) and Housekeeping
  • Organizing special functions and social events
  • Other duties, as assigned

Requirements

  • Proven work experience as an Administrative Officer, Administrator or similar role
  • Solid knowledge of office procedures
  • Experience with office management software like MS Office (MS Excel and MS Word, specifically)
  • Strong organization skills with a problem-solving attitude
  • Excellent written and verbal communication skills
  • Attention to detail
  • Bachelor's degree; additional qualifications in Office Administration are a plus
