The Vertical Biodiversity Fund (VBF) is a non-profit company (a hybrid entity) based in the Eastern Region of Nepal registered in 2017. We are working with farmers, youth, and local communities across a vertical gradient from Koshi Tappu to Kanchenjunga to protect the natural environment and to support farmers to grow organic and nutritious fruits and vegetables. In collaboration with KTK-BELT, the goal of the VBF is to become the Nepali operational entity to run the “Vertical University project” in collaboration with other local partners and stakeholders.

Job Description

Scope of Work 

The Accountant will work directly under the super vision and instruction of the VBF director and Admin officer and be based in Dharan. S/he works closely with donor organization’s director & finance officer, to ensure smooth and risk-free financial operation. S/he helps develop annual budgets, maintains accounts for different grants to ensure donor compliance and best practices, prepares monthly, quarterly and annual financial statements according to Donor and GoN requirements, conducts internal audits and works with external auditor for conducting annual statutory audit. S/he will also be responsible for the daily flow of logistical and administrative works, as directed.

Responsibilities :

  • Ensure implementation of best practices in budgeting, accounting & auditing compliant with national regulations
  • Ensure that the financial management practices endorsed by VBF adhere to local by-laws
  • Operate accounting system, including financial reporting & filing system for the project, in accordance with the project activities & document
  • Enter financial transactions into the computerized accounting system
  • Ensure that earmarked funds are used for explicitly stated purposes
  • Liaise with external auditor for conducting & finalizing annual audit report
  • Work closely with finance department of donor organization for all related finance and accounting works
  • Prepare financial reports and submit for approval on a regular basis
  • Ensure all expenditures of project are in accordance with the stated rules & regulations
  • Check budget lines to ensure that all transactions are correctly booked
  • Ensure documentation relating to payments is duly approved
  • Reconcile Bank accounts and prepare monthly bank reconciliation statements
  • Prepare Salary Sheet, Wages Sheet and disburse the Payroll after approval
  • Ensures that government taxes are paid on time
  • Maintain a proper inventory of project assets register
  • Follow the procurement system which embodies the local regulations and best practices, while meeting the specific nature of VBF’s projects and initiatives

Key Qualification and Experience:

  • Bachelors in Business Studies/ Business Administration with Specialization in Account or Finance from recognized university
  • At least 2 years of working experience in related field
  • Prior experience in project finance, accounting, and administrative work preferred
  • Prior experience of working in NGO environment with experience of coordinating with international donors on accounting/financial management is preferred

Special skills and competence :

  • Complete fluency in written and spoken English and Nepalese, and typing skills in both languages
  • Experience in organizing internal and external audits
  • Skills of using MS-Excel and accounting software Tally
  • Expert in explaining financial report to non-finance staff is a requirement
  • Strong written and oral presentation skills in English and Nepali are required
  • Highest degree of personal integrity
  • Ability to walk across difficult terrain to reach project sites
  • Highly professional with strong inter personal skills
  • Highest degree of gender and caste sensitivity is a must

Timing: The initial contract shall be for three months on a probationary/trial basis, extendable upon satisfactory performance for further period

Work provisions : S/he will be provided with use of office space, desktop computer with Internet facilities, and office furniture. Necessary stationery, printing and copying facilities will also be provided.

 Performance and Reporting requirement: S/he shall prepare and submit the reports within the time frame as indicated below: Monthly Financial Report: Within seven days of the end of the month

Quarterly Financial Report: Within fifteen days of the end of the quarter

Annual Audit report: Within time limit prescribed by Government of Nepal
